For all photograph orders after 6 April 2022
 

 

General

  1. Please make sure all contact details supplied are correct.
  2. The timescales are a guide. All services will be completed as soon as possible with any unlikely delays notified.
  3. "You", "your" refers to the person placing the order and agreeing to these terms and conditions.

 

Viewing Online

  1. Watermarks will not feature on ordered products.
  2. The final post production and editing styles, effects, and overall look of the images are left to the discretion of the photographer.
  3. All images are colour balanced however colours of clothes may differ to real life and vary as the natural light changes or with any flash used.
  4. The photographs may vary in colour depending on the monitor they are viewed on.

 

Photograph Ordering

  1. Digital downloads ordered are supplied in the 3:2 aspect ratio they were taken in and are delivered in your order confirmation email.
  2. Anyone ordering any physical prepaid package items will be asked to change their order unless consent has been given by the person who paid for the package. Only one copy of each prepaid item will be given out and cannot be substituted for any other product.
  3. Any wedding or event guests ordering may have their order put on hold until the wedding couple/event host/nominated recipient has received their digital photographs.
  4. Reasonable steps are taken to ensure USB sticks are suitable for use on various devices, however due to ever changing technology, the vast range of devices available and their tendency to corrupt; no liability will be taken for any incompatibility issues.
  5. The photographs of the products are examples and not to scale. All product sizes quoted are approximate.
  6. At checkout the chosen image is to be cropped to suit the aspect ratio of the product ordered. On average 0.5" will be hidden in the framing process including removable print mounts. Album pages may be trimmed slightly in comparison to the proofs due to creep in the binding process. Albums have been designed with this in mind and all picture boxes are placed within the supplier's recommended safe margin thus likely only to affect full bleed images up to 0.5" around the edge. 
  7. The colours of the products are as accurate as possible due to the variations of materials and computer monitor displays.
  8. Due to the organic makeup of the natural materials used by suppliers for their products minor surface imperfections may be present. The grain and colour of wooden frames may vary and over time have a tendency to darken.
  9. In the unlikely event of product suppliers discontinuing any of the products advertised at anytime a similar alternative will be offered. If an alternative product is refused, a refund for that item will be given, minus any PayPal or debit/credit card transaction fees if a pay later offline alternative fee exempt method (internet banking or cheque) was offered and the PayPal payment gateway didn’t load automatically.
  10. All photographs uploaded to the client area will be received as shown with basic subtle airbrushing of any minor blemishes already done during the editing stage to the same standard as shown on www.dianefrazerphotography.co.uk.
  11. Any further digital retouch work, including clothing alterations and venue imperfections is to be requested and a quote will be given to cover additional time spent editing. The price will vary depending on the nature of the request and the number of photographs the alteration is to be done to. After receiving the quote the photograph/s can be left as they are or the additional retouch work paid for.
  12. Prices for products and terms and conditions for additional orders are subject to change.

 

Promotional Discounts and Gift Cards

  1. Any valid discounts or promotions will be shown in your client area and deducted at checkout.
  2. Gift cards are a voucher code, delivered as an email link that works like regular gift voucher. No physical card will be issued.
  3. Any gift list contributions from various buyers can be added together as one gift card to spend on any product or service.
  4. Gift card voucher codes are to be entered at checkout. They can also be assigned to a client area for spending on the next transaction (not recommended for shared client areas or on public computers).
  5. Multiple gift cards can be used by any number of people for any number of purchases of products/services until the total value has been redeemed.
  6. Orders placed for physical products to the same value as the gift card will be subject to shipping costs. Any free shipping promotions will show at checkout when ordering products.
  7. If the order total including shipping is less than the gift card value, the balance will be updated and visible when clicking on the original voucher code link.
  8. Gift cards have no expiry date; however prices of products and services are subject to change.
  9. Any gift cards received either as a complimentary prize issued by Diane Frazer Photography or a donated prize for third party fundraiser will not be exchanged for their cash value, the amount paid in a fundraising auction etc, any other service or product but can be used by someone else before their expiry date.
  10. If the buyer or recipient suspects the gift card code or link has accidentally fallen into the wrong hands the voucher code can be cancelled if the total value hasn't been redeemed. A new voucher code will be issued to the original email address used by the buyer.

 

Payment, Proofs and Order Cancellation

  1. Payments for debit/credit cards are taken through PayPal with or without a PayPal account. The Diane Frazer Photography website will load the payment gateway to complete the purchase or where additional offline pay later options (internet banking or cheque) are offered too, payment instructions will appear at the end of the checkout process and in your invoice sent to the email address supplied.
  2. Diane Frazer Photography is not responsible for bank transfers being sent to an incorrect account, cheques/cash being lost in the post, cheques bouncing, or banks/PayPal refusing tender.
  3. Payment delays may hold-up orders being sent off for printing and subsequently the delivery.
  4. Please check the invoice/receipt with proofs carefully. Any mistakes ordering (wrong image/orientation/incorrect text) for USB sticks, prints, and giftware are to be notified within the 48 hour cooling-off period. Due to the bespoke nature of the product refunds or exchanges cannot be given after the order has been sent off for printing.
  5. Full refunds for PayPal payments within the 48 hour cooling off period will only be given in circumstances where the Diane Frazer Photography website loads the PayPal gateway automatically. Where a pay offline later option is offered with alternative fee exempt payment instructions (internet banking or cheque) the cooling off period will be determined as the time between placing the order and paying separately after reviewing the invoice at the buyer's convenience.
  6. Pay later internet banking options are manually verified within 1 to 3 days. Please allow longer for cheque payments to be posted and cleared. Payment delays for photographs may hold-up the order being sent off for printing and subsequently the delivery.
  7. Some products including albums and frames will require separate proofs to be completed and will only be sent off for printing once approved in writing or using the proofing form. 48 hours will be left after the approval of proofs before printing as an additional cooling-off period for any final alterations. These products will state if separate proofs will be sent in the product description.
  8. The proofing process is to be completed within a reasonable amount of time. Proofs will be sent to review after each set of changes.
  9. No communication with Diane Frazer Photography for 3 months after receiving a set of proofs may incur additional costs to cover any supplier price increase. This includes discontinuation of the product in favour of a more expensive alternative. If no suitable alternative can be offered any refunds will be minus a fee to cover the photographer’s time.
  10. Digital photographs included as part of a service package are non-refundable after the photographs have been taken.
  11. Due to the irreversible nature of delivery and ease of copying all orders for digital downloads will not be refunded. Refunds for digital downloads will only be given for identical orders whereby the same digital image has been ordered twice using the same email address.

 

Delivery of Photographs

  1. All items in the same order will be delivered together. Any request to send items ready sooner separately will incur postal or courier charges.
  2. Orders will be ready within 30 days of payment being cleared or from proofs being approved, whichever is the latter.
  3. Diane Frazer photography is not responsible for any delays with bespoke products being made at third party suppliers or any delays with the postal and courier services. In the event of severe weather conditions, a natural disaster or an epidemic/pandemic, suppliers and/or couriers may be forced to stop the service they provide temporarily. All orders placed during this time will be put on hold until they are permitted to return to work.
  4. Any promotions for free UK delivery will show in your client area. If an international shipping address has been supplied the order will be put on hold until an alternative care of UK address has been provided or payment for international delivery (including any liable taxes) is made after requesting a quote.
  5. Weekend and evening delivery for local orders (30 miles from Reading, Berkshire) of albums and frames is subject to availability of delivery appointments. Weekend delivery upgrade for all other items being sent by postal or courier companies will be charged for at the current delivery rate. 
  6. Where a free local delivery appointment or delivery to school for parent orders has been offered at the earliest possible time, any request to send the order sooner by post or courier will be charged for at the current delivery rate.
  7. Delivery addresses can be changed providing the order hasn't been dispatched to ensure someone will be available to sign for it on a weekday. Posting can also be delayed by request if the recipient is going to be away.
  8. In the unlikely event of your photographs being damaged in the post please contact me as soon as possible. Replacements can be arranged on return of the damaged goods.
  9. In the event of any damage occurring during delivery please leave a message with Diane Frazer Photography the same day by email or phone. Replacements can be arranged on return of the damaged goods. It is advisable to get a certificate of posting and a tracking number as no liability will be taken for the loss of items being returned by the post or courier.
  10. Any damaged items being replaced are to be reprinted exactly the same. No alterations to the image/s, orientation, or product (colour, style, size, or text etc) can be made.
  11. Due to the bespoke nature of the products unwanted items will not be replaced free of charge. Any costs for altering the product and subsequent delivery expenses will be charged for and a quote sent prior to the return of the unwanted item.
  12. USB sticks cannot be returned to have additional digital files added to prevent Diane Frazer Photography computers catching any viruses. 

 

Looking After Your Photographs

  1. The photographs are printed using high quality professional printers but should still be kept out of direct sunlight in a dry environment away from high humidity levels to keep them in good condition.
  2. To clean your photographs use a dry, clean duster.
  3. It is advisable to make multiple copies of your high resolution digital photographs on different devices as soon as you receive them to make them compatible with ever changing technology and in the event of any image corruption.
  4. All photographs will be archived by Diane Frazer Photography, unless requested otherwise. No liability will be taken for loss of photographs by Diane Frazer Photography after 3 years.

 

Copyright

  1. The 1988 Copyright, Designs and Patents Act assigns the copyright of all photographs to Diane Frazer Photography when they are taken.
  2. High resolution photographs can be printed and copied royalty free for personal use and no profitable gain.
  3. With the exception of cropping to different aspect ratios for display purposes, the photographs cannot be digitally manipulated in any way to maintain the artistic integrity of the images protected by intellectual property rights.  
  4. Photographs purchased can be uploaded to social network websites. Images received will not be watermarked. Liking and tagging the Diane Frazer Photography Facebook page or Instagram page is much appreciated.
  5. Photographs without identities will be used for marketing by Diane Frazer photography and shared with any venue/s and suppliers.
  6. Diane Frazer Photography will ask the wedding couple/event organiser/parents for portrait sessions for consent to use their other photographs in the public domain for marketing when ordering. Images will be used on the Diane Frazer Photography website, on electronic devices owned by Diane Frazer, email marketing, promotional material, and sample products. Wedding/event guests should be made aware if permission is given in case they don't wish to have photographs with them used. Only photographs of whoever has ticked the 'yes' permissions box and their immediate family (spouse/partner/children) will be used on third party directory websites and social media whereby Diane Frazer Photography has login details to control the content. These can be listed upon request.
  7. Diane Frazer Photography will not share any of your photographs showing your identity with any third party without your consent. You may give your other wedding/event suppliers (hairdresser, make-up artist, florists, venue) a free copy of your photographs to help promote their business in exchange for them crediting Diane Frazer Photography for the images.

 

Privacy Policy

  1. Any personal data including names, addresses, contact numbers and other information relevant to the photography service are collected, kept confidential and not distributed to any third party.
  2. If you believe that any information Diane Frazer Photography holds on you is incorrect or incomplete, please email data@dianefrazerphotography.co.uk as soon as possible.
  3. You will only be contacted regarding your order. There is the option to opt in to receive the Diane Frazer Photography seasonal newsletter when ordering, which you can 'unsubscribe' from at any time.

Gift Vouchers | Terms and Conditions

 

For gift voucher purchases after 6 April 2022

 

General

  3. “Photography service” refers to any package that involves photographs being taken. Weddings, portraits, events, school, or corporate photography.

 

Ordering       

  1. Gift cards are a voucher code, delivered as an email link that works like regular gift voucher. No physical card will be issued. After clicking on the link a voucher can be saved as a pdf or printed.
  2. Gift cards can be purchased for current, past or future clients of Diane Frazer Photography to be spent on any product or service.
  3. Gift cards of bespoke amounts for different recipients are to be ordered separately.
  4. Preset denomination gift purchases in the same order will be delivered as separate voucher codes in the same email to the buyer. 
  5. Gift cards can be topped up manually by the photographer. Please order a gift card top-up quoting the original card number purchased.

 

Payment       

 
  1. Payments for debit/credit cards are taken through PayPal with or without a PayPal account. The Diane Frazer Photography website will load the payment gateway to complete the purchase or where additional offline pay later options (internet banking or cheque) are offered too, payment instructions will appear at the end of the checkout process and in your invoice sent to the email address supplied.
  2. Voucher codes are activated 1 to 3 days after payment has been received and cleared.
  3. Failure to pay will mean the voucher code will be unusable or the gift contribution not added to a gift list.

 

Delivery

  1. Gift cards are delivered as a voucher code to the buyer's email address in an email entitled "notification of your order". This should be within a couple of minutes of the order being placed.
  2. The gift card can be sent on to the recipient either by forwarding on the receipt or copying the link into a new email.
  3. Diane Frazer photography is not responsible for any delays with automated email delivery times or emails being sent to spam folders. Any receipts with voucher codes not received after 48 hours can be resent by request.

 

Spending

  1. Gift cards are a voucher code, delivered as an email link that works like regular gift voucher. No physical card will be issued. After clicking on the link a voucher can be saved as a pdf or printed.
  2. Gift card recipients will need to adhere to the terms and conditions for photograph orders or a photography service. These will be shown when ordering or booking a service.
  3. All photography services are to take place within 30 miles of Reading in Berkshire. Locations further afield may incur travel expenses when booking the service. This could include petrol, parking, or congestion charges.
  4. Any gift list contributions from various buyers can be added together as one gift card to spend on any product or service.
  5. Gift card voucher codes are to be entered at checkout. They can also be assigned to a client area for spending on the next transaction (not recommended for shared client areas or on public computers).
  6. Multiple gift cards can be used by any number of people for any number of purchases of products/services until the total value has been redeemed.
  7. Orders placed for physical products to the same value as the gift card will be subject to shipping costs. Any free shipping promotions will show at checkout when ordering products.
  8. The gift card will automatically be used to purchase shipping for physical items if the order isn't exempt and the required value is still redeemable on the gift card.
  9. If the order total including shipping is less than the gift card value, the balance will be updated and visible when clicking on the original voucher code link.
  10. Gift cards purchased directly through Diane Frazer Photography have no expiry date; however prices of products and services are subject to change in line with the terms and conditions of the photography service being booked.
  11. In the event of a price increase, gift purchases for specific services will remain the same for digital only packages for one additional year. Gift cards for services with physical items included may incur additional costs to cover any supplier price increase. Alternatively the value of the products purchased before the price increase can be exchanged for an alternative product/s of the same value at the new retail price.
  12. Gift cards can be changed to be a standard gift card to be spent on a different service or products but only to the value of the original purchase before any price increase.
  13. Any gift cards received either as a complimentary prize issued by Diane Frazer Photography or a donated prize for third party fundraiser will not be exchanged for their cash value, the amount paid in a fundraising auction etc, any other service or product but can be used by someone else before their expiry date.
  14. If the buyer or recipient suspects the gift card code or link has accidentally fallen into the wrong hands the voucher code can be cancelled if the total value hasn't been redeemed. A new voucher code will be issued to the original email address used by the buyer.

 

Cancellations  

  1. Gift cards are non refundable 30 days after payment has been received.
  2. Gift cards are transferable until the total value has been redeemed. The buyer can spend it on themselves or forward the link onto someone else.
  3. Gift cards spent on photography services which are cancelled at a later date will have the value refunded as a gift card to spend on a different product or service. This can be transferred to another person.
  4. Exceptions will be made for recipients who cancel their wedding or event photography service due to unforeseen circumstances. The buyer will be contacted regarding a refund if the gift amount hasn't been redeemed. If the gift amount has been spent the cash value will be given to whoever spent it, subject to the refund terms and conditions of the service they purchased.
  5. Diane Frazer Photography reserves the right to refuse a booking for a photography service following a gift purchase sale if the recipient is unable to travel to a location within 30 miles from Reading in Berkshire and the location requested is beyond a reasonable distance to travel for the type of service. Upon reviewing the order Diane Frazer Photography will check the area location of the recipient and notify the buyer as soon as possible. If the buyer’s address is also not within the area covered and they do not know of anyone else who can use the gift card the order will be cancelled within the cooling off period and a refund given.
  6. For those choosing to pay by PayPal (credit card or PayPal account) payments will have a percentage of the payment non-refundable in all circumstances when pay later offline alternative fee exempt methods (internet banking or cheque) are offered. This retainable percentage is subject to change by PayPal at any time with no notice. An advisory of the amount will be included in your invoice and subject to change if making payment is delayed. For these PayPal transactions the cooling off period will be determined as the time between completing the booking form/placing an order on the Diane Frazer Photography website and paying separately after reviewing the invoice at the buyer’s convenience.
  7. Refunds, where applicable for gift purchases of products and services prior to any price increase will only be refunded for the amount paid and not the current advertised price.
  8. Gift cards received either as a complimentary prize issued by Diane Frazer Photography or a donated prize for third party fundraiser will not be exchanged for their cash value, the amount paid in an auction etc, any other service or product but can be used by someone else before their expiry date.

Wedding Booking | Terms and Conditions

 
For bookings after 6 April 2022
 
 

 

General

  1. Please make sure all contact details supplied are correct.
  2. The timescales are a guide. All services will be completed as soon as possible with any unlikely delays notified.
  3. "You", "your" refers to the wedding couple.

 

Booking

  1. The booking is completed following a deposit payment.
  2. Failure to pay the deposit as soon as possible may mean the wedding date is offered to another couple.
  3. The deposit will be put towards a wedding coverage package, with the balance payment due one calendar month before the wedding. Failure to pay the wedding coverage package balance will cancel the wedding booking and the deposit will be retained.
  4. Wedding coverage packages can be upgraded before the wedding day after the balance has been paid. Payment will be due before the wedding day.
  5. Wedding coverage packages can only be downgraded after balance payment in the event of government epidemic/pandemic social restrictions cancelling the wedding breakfast/evening reception or restricting the number of people attending for ceremony only coverage.
  6. Provisions for a main meal or a working lunch in the venue bar or designated supplier area are much appreciated for weddings having coverage continuing after the wedding breakfast.
  7. Any travel or accommodation expenses will be quoted prior to booking. This could include petrol, parking charges, congestion charges, food and accommodation expenses. No expenses will be added after the booking has been completed providing the wedding ceremony and reception venue/s listed on the booking form do not change.
  8. Any changes to venue/s listed in the booking form may incur travel or accommodation expenses.
  9. Any visitor parking permits or parking payments for the photographer's vehicle at any residential address (e.g. for preparations) are to be arranged and paid for by the wedding couple. Free parking is also to be provided for any ordering or delivery appointments after the wedding.
  10. All wedding coverage packages at the time of booking will be honoured. Prices for products, any special offers, and terms and conditions are subject to change 6 months after the wedding day.
  11. Albums can be pre-ordered and paid for before the wedding. They are non-refundable but can be upgraded to an alternative album or product, before the proofing process starts once all photographs have been edited.
  12. Payments for albums and other products before the wedding will be considered part of the wedding coverage balance payment where the postponement and cancellation policy is concerned providing they have not been sent off for printing.
  13. By special request for large weddings a second photographer quote can be given for their attendance on the day and subsequent extra post production work for Diane Frazer Photography. This is available as an extra service after booking and subject to availability. Prices may vary depending on other photographers’ availability and their rates. Any cancellation of the second shooter by the wedding couple will not be refunded. Payments will only be transferable to another Diane Frazer Photography product or service if the second shooter hasn’t charged Diane Frazer Photography a cancellation fee.

 

Postponement or Cancellation

  1. The deposit is non-refundable 30 days after payment to complete the booking has been received.
  2. In the unlikely event the wedding day is postponed any deposits and coverage balance payments made can be transferred to the new date, subject to availability.
  3. Should Diane Frazer Photography have another booking on the rearranged day or a request to cancel the booking is made, a refund of any wedding coverage package balance paid will be given. The deposit will be retained as compensation for income turned away after reserving the date exclusively.
  4. An exception will be made to postponements or cancellations whereby a wedding photography service cannot be offered to any other couple on the same day. This includes a natural disaster or government restrictions in an epidemic/pandemic. A deposit refund will be given after an attempt to transfer the booking to a new date, providing the pre-wedding meeting has not taken place.
  5. Deposit refunds for wedding couples who cancel their wedding photography but continue to get married on a new or the original date will be only be given (providing the pre-wedding meeting has not taken place) if the photographer is not permitted to supply any form of photography service. This excludes the circumstance of couples choosing to cancel their photography service in favour of inviting a guest when the photographer’s attendance is included in restricted guest numbers. Refunds will be issued, if applicable, following written confirmation from the venue confirming the photographer is not permitted onsite at any time during the wedding day including outdoor areas before and/or after the ceremony due to epidemic/pandemic social distancing government restrictions. A small bespoke wedding package will be arranged if the photographer is only permitted in outdoor areas and subsequently unable to photograph an indoor ceremony.
  6. Bringing the wedding date forwards for any circumstance with less than 72 hours notice giving the photographer minimal or no time to prepare their equipment and/or travel to the venue will be considered unreasonable. This will be treated as going ahead without the photographer and subsequently a cancellation of the photography, if the photographer is unable to arrive prepared at the venue in time. The deposit will be retained to cover any pre-wedding meeting work done and/or as compensation for other bookings turned away on the original date.
  7. Deposit refunds for wedding couples who decide not to get married will only be given (providing the pre-wedding meeting has not taken place) if their venue is closed for weddings on their wedding date or the registrars cancel due to a natural disaster or government restrictions in an epidemic/pandemic. Refunds will be issued, if applicable, after the wedding date following written confirmation from the registrar/place of worship of their intentions to no longer get married on an alternative date when a photography service could be supplied.
  8. In the event the wedding couple are forced to self isolate under government epidemic/pandemic restrictions on the date of their wedding a refund will be given (providing the pre-wedding meeting has not taken place) if a photography service cannot be supplied on an alternative date due to unavailability of the photographer, photographer’s attendance onsite denied due government social restrictions (excluding cancelling in favour of inviting a guest when numbers are restricted) or cancellation of their intent to marry.
  9. In the event of a deposit being retained because the pre-wedding meeting has taken place wedding couples will receive digital copies of their engagement portraits as downloads.
  10. Refunds, if applicable, will be given using the same payment method monies were received to the person who paid.
  11. For those choosing to pay by PayPal (debit/credit card or PayPal account), a percentage of the payment is non-refundable in all circumstances when a pay later offline alternative fee exempt method (internet banking or cheque) is offered. This retainable percentage is subject to change by PayPal at any time with no notice. An advisory of the amount will be included in the separate PayPal invoice requested to make the payment and subject to change if making payment is delayed. For these PayPal transactions the cooling off period will be determined as the time between completing the booking form/placing an order on the Diane Frazer Photography website and paying separately after reviewing the invoice at the buyer’s convenience.
  12. In the event Diane Frazer is hospitalised, forced to self isolate under government epidemic/pandemic social restrictions or unable to travel to the venue/s due to adverse weather conditions Diane Frazer Photography has a procedure in place to find another photographer as emergency cover. In the first instance cover will be found for the wedding day itself at no additional cost to the wedding couple. The editing and the rest of the wedding photography package service will be completed by Diane Frazer Photography.
  13. In some circumstances cover for the complete job including editing and delivery of images may be required. Emergency cover procedures will be put in place to help find a replacement photographer. A refund of the balance payments will be given for the wedding couple to use to pay the new photographer and the contract with Diane Frazer Photography cancelled. The deposit will be refunded too providing the pre-wedding meeting has not taken place. Diane Frazer Photography will not be liable for any price differences should the alternative photographer taking on the booking wish to charge more for the same, similar, or different service at any time.
  14. In the event of postponement on more than one occasion or cancellation of a rearranged wedding day the same terms and conditions will apply.

 

Pre-wedding Meeting

  1. The pre-wedding meeting will take place at the wedding venue approximately 2 to 3 months before the wedding day. Should the venue refuse permission a suitable nearby location will be suggested.
  2. In the event either the Bride and/or Groom is no longer able to attend the pre-wedding meeting for whatever reason, including self isolating under government restrictions in the event of an epidemic/pandemic, please contact Diane Frazer Photography to rearrange at the earliest possible notice. In the event of self isolation a new date is to be arranged when the entire household have finished isolating for the length of time advised by the government.
  3. There is no charge to rearrange for another day. A portrait session fee of £125 will apply for an additional meeting to take the engagement portraits in the event only one half of the couple turn up.
  4. In the event of social restrictions enforced by the government in an epidemic/pandemic, pre-wedding meetings may take on a different format to be completed if the wedding is due to take place on the original date. The portraits will be taken from a safe distance in the venue grounds (if open and permitted) or an alternative safe location compliant with any government guidelines. Discussing photography requirements and wedding day timings will be done via video call or phone to reduce in person contact time.
  5. If the wedding takes place on the first day after social/travel restrictions are lifted by the government or the Bride, Groom or Diane Frazer have been forced to self isolate in the event of an epidemic/pandemic and subsequently the pre-wedding portrait session hasn’t been able to take place at any location prior to the wedding, a £125 discount/refund towards the photography coverage will be given. In the event last minute appointments are offered but not suitable for the pre-wedding portrait session a, £125 Diane Frazer Photography gift voucher will be issued to be put towards an album or any other product.
  6. Wedding couples who have their engagement portraits taken at their venue before postponing or purchase a portrait session prior to booking and subsequently receive a gift voucher of the same value towards their photography coverage, can have a second meeting via phone, video call or at a location near to the photographer’s home to discuss their wedding day schedule. Amendments can also be made to the photography schedule via email.
  7. Pre-wedding meeting engagement portraits can be purchased before the wedding. They will also be complimentary as downloads after the wedding coverage balance has been paid.
  8. Wedding couples wishing to purchase anything for display at the wedding are to order and pay for the item/s at least one month before to ensure they are ready for the wedding day.

 

Photography

  1. Copies of insurance documents can be shown prior to booking and a copy supplied to the venue if requested. A risk assessment can also be provided after seeing the venue at the pre-wedding meeting. Please ask the venue’s wedding co-ordinator to contact me to discuss.
  2. Photographs of fireworks, pyrotechnics and with sparklers, smoke bombs, Chinese lanterns, or similar are to be requested a minimum of 14 days before the wedding to allow provisions for any additional insurance to be arranged. They will not be provided or setup by the photographer.
  3. The photographer’s DBS can be viewed by request. This is a basic DBS, the highest possible for a self application. An enhanced check can be done however this will need to be completed by the venue or the wedding couple and at their expense.
  4. Within a few weeks of the pre-wedding meeting a wedding photography schedule will be sent by email. The timings in the schedule will be a guide and go with the flow of the wedding day. Any significant changes to times and additional photographic requests are to be submitted in writing no later than 4 days before the wedding. A new version of the schedule will be issued. Additional photograph requests can be taken on the day; however no liability will be taken if it isn't possible to take them within the flow and time constraints of the wedding day. In the event of another photographer being involved as a second shooter or emergency cover a copy of the photography schedule and any other relevant details required for use on the wedding day will be emailed to them. No liability will be taken by Diane Frazer Photography for images not taken by a third party photographer.
  5. An approximate end time will be included in your schedule. There will be no extra charges should your first dance or any other aspects run later than expected within a reasonable delay. If any aspects such as cutting of the cake are arranged for a significant time later during the evening reception the photographer reserves the right to leave or charge for extra hours.
  6. The style of photography will be as seen on www.dianefrazerphotography.co.uk/weddings.
  7. Photographers acting as a second photographer or emergency cover will be told to photograph in the same style as Diane Frazer Photography’s portfolio. Some variations may occur due to differences in photographic equipment and techniques used.
  8. No liability will be taken for missing or lack of variety of photographs under circumstances out of the photographer's control. These may include restricted movement and photography permissions by the officiant; restricted movement at the venue including physical characteristics or staff permissions; social distancing restrictions imposed by government in the event of an epidemic/pandemic; sudden obstruction or actions by anyone including guests, officiant, videographers and venue staff during uninterruptible moments; time constraints caused by delays in the wedding day schedule; people refusing to be in photographs; guests who arrive late, leave early or disappear to their accommodation; during the photographer’s meal break (usually whilst guests are eating); weather conditions; traffic; theft of memory cards and other equipment.
  9. No liability will be taken for accidents on council or private property not owned by Diane Frazer Photography caused by physical characteristics of the location, weather conditions, belongings (furniture, equipment etc) and people not employed by Diane Frazer Photography.
  10. Any unlikely accidents caused by Diane Frazer or equipment belonging to Diane Frazer Photography are to be reported immediately. No liability will be taken for accidents reported after the wedding or meetings.
  11. Photographers acting as a second photographer or emergency cover will not be employees of Diane Frazer Photography. They will be checked to make sure they have their own liability insurance cover in the event of an accident caused by them or their equipment. Any accidents caused by an emergency cover photographer are to be reported immediately to Diane Frazer Photography. Any subsequent claims will be against the other photographer’s insurance policy.
  12. Any verbal or physical abuse, hostile, threatening, or inappropriate behaviour towards the photographer, theft, or damage of equipment will not be tolerated and will result in the photographer terminating the wedding coverage and/or the booking for their own safety. Any theft or damage of equipment by you or your guests will be charged for.
  13. Diane Frazer Photography is to be made aware if the Bride, Groom, or any of their guests suffer from photosensitive epilepsy that maybe triggered as a result of lighting equipment to be used.

 

Viewing Online

  1. Watermarks will not feature on ordered products.
  2. The final post production and editing styles, effects, and overall look of the images are left to the discretion of the photographer.
  3. All images are colour balanced however colours of clothes may differ to real life and vary throughout the wedding day as the natural light changes.
  4. The photographs may vary in colour depending on the monitor or device they are viewed on.
  5. The wedding couple will be provided with a unique and secure password to view the photographs in a client area on www.dianefrazerphotography.co.uk/login as soon as possible.
  6. Anyone requesting the login details will be asked to contact the wedding couple.
  7. A small number of 'preview' photographs will be uploaded for viewing only in your client area on the website within 2 to 3 weeks of the wedding. These preview photographs are subject to final tweaks when all the wedding photographs are reviewed as a complete collection at the final stage of the editing process. For this reason preview photographs will only be available to download once the rest of the collection is finished as soon as possible.
  8. The estimated completion time of all photographs for viewing approximately is 6 to 8 weeks after the wedding. A quicker turnaround time is to be booked and paid for before the wedding and subject to availability to block out my diary for immediate days after the wedding to guarantee editing time.
  9. The online slideshow is a feature of the website and maybe withdrawn by the website company at any given time with no notice.

 

Ordering

  1. High resolution JPEG files (supplied in the 3:2 aspect ratio they were taken in) are included with every wedding coverage package. There is no obligation to purchase any additional products.
  2. Digital photographs are delivered as downloads by email after ordering within your client area.
  3. Any product/s included with the wedding coverage package, including digital downloads, cannot be substituted for any other product.
  4. One home visit viewing appointment per wedding is complimentary by request at an address within 30 miles of Reading, Berkshire. Any further ordering appointments are £125 each with the cost put toward any products ordered during the appointment.
  5. Any orders by guests will be put on hold until the wedding couple have received any prepaid wedding coverage package products, unless consent has been given.
  6. Guests ordering any physical prepaid wedding package products will be asked to change their order unless consent has been given by the wedding couple for them to order their item on their behalf.
  7. Reasonable steps are taken to ensure USB sticks are suitable for use on various devices, however due to ever changing technology, the vast range of devices available and their tendency to corrupt; no liability will be taken for any incompatibility issues.
  8. The photographs of the products are examples and not to scale. All product sizes quoted are approximate.
  9. At checkout the chosen image is to be cropped to suit the aspect ratio of the product ordered. On average 0.5" will be hidden in the framing process including removable print mounts. Album pages may be trimmed slightly in comparison to the proofs due to creep in the binding process. Albums have been designed with this in mind and all picture boxes are placed within the supplier's recommended safe margin thus likely only to affect full bleed images up to 0.5" around the edge. 
  10. The colours of the products are as accurate as possible due to the variations of materials and computer monitor displays.
  11. Due to the organic makeup of the natural materials used by suppliers for their products minor surface imperfections may be present. The grain and colour of wooden frames may vary and over time have a tendency to darken.
  12. In the unlikely event of product suppliers discontinuing any of the products advertised at anytime a similar alternative will be offered. If an alternative product is refused, a refund for that item will be given, minus any PayPal or debit/credit card transaction fees if a pay later offline alternative fee exempt method (internet banking or cheque) was offered.
  13. All photographs uploaded to the client area will be received as shown with basic subtle airbrushing of any minor blemishes already done during the editing stage to the same standard as shown on www.dianefrazerphotography.co.uk/weddings.
  14. Any further digital retouch work, including clothing alterations and venue imperfections is to be requested and a quote will be given to cover additional time spent editing. The price will vary depending on the nature of the request and the number of photographs the alteration is to be done to. After receiving the quote the photograph/s can be left as they are or the additional retouch work paid for.

 

Promotional Discounts and Gift Vouchers
 
  1. Any valid discounts or promotions will be shown and deducted at checkout.
  2. Gift cards are a voucher code, delivered as an email link that works like regular gift voucher. No physical card will be issued.
  3. Any gift list contributions from various buyers can be added together as one gift card to spend on any product or service.
  4. Gift card voucher codes are to be entered at checkout. They can also be assigned to a client area for spending on the next transaction (not recommended for shared client areas or on public computers).
  5. Multiple gift cards can be used by any number of people for any number of purchases of products/services until the total value has been redeemed.
  6. Orders placed for physical products to the same value as the gift card will be subject to shipping costs. Any free shipping promotions will show at checkout when ordering products.
  7. If the order total including shipping is less than the gift card value, the balance will be updated and visible when clicking on the original voucher code link.
  8. Gift cards have no expiry date; however prices are subject to change 6 months after your wedding.
  9. Any gift cards received either as a complimentary prize issued by Diane Frazer Photography or a donated prize for third party fundraiser will not be exchanged for their cash value, the amount paid in a fundraising auction etc, any other service or product but can be used by someone else before their expiry date.
  10. If the buyer or recipient suspects the gift card code or link has accidentally fallen into the wrong hands the voucher code can be cancelled if the total value hasn't been redeemed. A new voucher code will be issued to the original email address used by the buyer.

 

Payment, Proofs and Order Cancellation

  1. Payments for debit/credit cards are taken through PayPal with or without a PayPal account. The Diane Frazer Photography website will load the payment gateway to complete the purchase or where additional offline pay later options (internet banking or cheque) are offered too, payment instructions will appear at the end of the checkout process and in your invoice sent to the email address supplied.
  2. Diane Frazer Photography is not responsible for bank transfers being sent to an incorrect account, cheques/cash being lost in the post, cheques bouncing, or banks/PayPal refusing tender.
  3. Payment delays may hold-up orders being sent off for printing and subsequently the delivery.
  4. Please check the invoice/receipt with proofs carefully. Any mistakes ordering (wrong image/orientation/incorrect text) for USB sticks, prints, and giftware are to be notified within the 48 hour cooling-off period. Due to the bespoke nature of the product refunds or exchanges cannot be given after the order has been sent off for printing.
  5. Full refunds for PayPal payments within the 48 hour cooling off period will only be given in circumstances where the Diane Frazer Photography website loads the PayPal gateway automatically. Where a pay offline later option is offered with alternative fee exempt payment instructions (internet banking or cheque) the cooling off period will be determined as the time between placing the order and paying separately after reviewing the invoice at the buyer's convenience.
  6. Some products including albums and frames will require separate proofs to be completed and will only be sent off for printing once approved in writing or using the proofing form. 48 hours will be left after the approval of proofs before printing as an additional cooling-off period for any final alterations. These products will state if separate proofs will be sent in the product description.
  7. The proofing process is to be completed within a reasonable amount of time. Proofs will be sent to review after each set of changes.
  8. No communication with Diane Frazer Photography for 3 months after receiving a set of proofs may incur additional costs to cover any supplier price increase. This includes discontinuation of the product in favour of a more expensive alternative. If no suitable alternative can be offered any refunds will be minus a fee to cover the photographer’s time.
  9. Digital photograph files (balance payments) are non exchangeable or refundable once the wedding has taken place.

 

Delivery of Photographs

  1. All items in the same order will be delivered together. Any request to send items ready sooner separately will incur postal or courier charges.
  2. Orders will be ready within 30 days of payment being cleared or from proofs being approved, whichever is the latter.
  3. Diane Frazer photography is not responsible for any delays with bespoke products being made at third party suppliers or any delays with the postal and courier services. In the event of severe weather conditions, a natural disaster or an epidemic/pandemic, suppliers and/or couriers may be forced to stop the service they provide temporarily. All orders placed during this time will be put on hold until they are permitted to return to work. 
  4. Any physical items included with your chosen wedding coverage package will qualify for free UK delivery.
  5. Any promotions for free UK delivery of optional products will show in your client area. If an international shipping address has been supplied the order will be put on hold until an alternative care of UK address has been provided or payment for international delivery (including any liable taxes) is made after requesting a quote.
  6. Weekend and evening delivery for local orders (30 miles from Reading, Berkshire) of albums and frames is subject to availability of delivery appointments. Weekend delivery upgrade for all other items being sent by postal or courier companies will be charged for. 
  7. Where a free local delivery appointment has been offered at the earliest possible time, any request to send the order sooner by courier will be charged for.
  8. Delivery addresses can be changed providing the order hasn't been dispatched to ensure someone will be available to sign for it on a weekday. Posting can also be delayed by request if the recipient is going to be away.
  9. In the event of any damage occurring during delivery please leave a message with Diane Frazer Photography the same day by email or phone. Replacements can be arranged on return of the damaged goods. It is advisable to get a certificate of posting and a tracking number as no liability will be taken for the loss of items being returned by the post or courier.
  10. Any damaged items being replaced are to be reprinted exactly the same. No alterations to the image/s, orientation, or product (colour, style, size, or text etc) can be made.
  11. Due to the bespoke nature of the products unwanted items will not be replaced free of charge. Any costs for altering the product and subsequent delivery expenses will be charged for and a quote sent prior to the return of the unwanted item.
  12. No photographs will be delivered by email directly from Diane Frazer. All orders for digital files are to be placed through the website.
  13. USB sticks cannot be returned to have additional digital files added to prevent Diane Frazer Photography computers catching any viruses. 

 

Looking After Your Photographs

  1. The photographs are printed using high quality professional printers but should still be kept out of direct sunlight in a dry environment away from high humidity levels to keep them in good condition.
  2. To clean your photographs use a dry, clean duster.
  3. It is advisable to make multiple copies of your high resolution digital photographs on different devices as soon as you receive them to make them compatible with ever changing technology and in the event of any image corruption.
  4. All photographs will be archived by Diane Frazer Photography, unless requested otherwise by the wedding couple. No liability will be taken for loss of photographs by Diane Frazer Photography after 3 years.

 

Copyright

  1. The 1988 Copyright, Designs and Patents Act assigns the copyright of all photographs to Diane Frazer Photography when they are taken.
  2. High resolution photographs can be printed and copied royalty free for personal use. They are not to be sold to anyone.  
  3. With the exception of cropping to different aspect ratios for display purposes, the photographs cannot be digitally manipulated in any way to maintain the artistic integrity of the images protected by intellectual property rights.
  4. Guests may take photographs on their own devices providing they are not obstructing. Any photographs of compositions set up by Diane Frazer Photography are to be for personal use only and no profitable gain. They are not permitted to use these images to market their own photography business.
  5. Photographs can be uploaded to social network websites. Images received will not be watermarked. Liking and tagging the Diane Frazer Photography Facebook page or Instagram page is much appreciated.
  6. Photographs without identities (venue, flowers, etc) will be used for marketing by Diane Frazer photography and shared with your venue/s and suppliers.
  7. Diane Frazer Photography will ask the wedding couple when ordering, to give or refuse consent to use their other photographs in the public domain for marketing. Images will be used on the Diane Frazer Photography website, on electronic devices owned by Diane Frazer for the purpose of a portfolio slideshow, email marketing, promotional material, and sample products. Wedding guests should be made aware if permission is given in case they do not wish to have the photographs they feature in used. Only photographs of whoever has ticked the 'yes' permissions box and their immediate family (spouse/partner/children) will be used on third party directory websites and social media whereby Diane Frazer Photography has login details to control the content. These can be listed upon request.
  8. Diane Frazer Photography will not distribute any photographs showing identities with any third party without your consent. Other wedding suppliers (hairdresser, make-up artist, florists, venue, etc) can be given free digital copies of the wedding photographs to help promote their business in exchange for them crediting Diane Frazer Photography for the images. Images are not to be sold to any third party.

 

Privacy Policy

  1. Any personal data including names, addresses, contact numbers and other information relevant to the photography service are collected, kept confidential and not distributed to any third party. 
  2. In the event of a second photographer or an emergency cover photographer being required for any reasons outlined in these terms and conditions, the wedding photography schedule and any other relevant details required for use on the wedding day will be passed on to enable them to undertake the job. Should Diane Frazer be hospitalised and not in a position to make any necessary emergency cover arrangements herself, a next of kin will access her diary and client paperwork to do it on her behalf.
  3. If you believe that any information Diane Frazer Photography holds on you is incorrect or incomplete, please email data@dianefrazerphotography.co.uk as soon as possible.
  4. You will only be contacted regarding your booking and subsequent order/s. When ordering products you will have the option to opt in or out to receive the Diane Frazer Photography seasonal newsletter, which you can 'unsubscribe' from at any time.

Portrait Session Booking | Terms and Conditions

For bookings after April 2022
 

General

  1. Please make sure all contact details supplied are correct.
  2. The timescales are a guide. All services will be completed as soon as possible with any unlikely delays notified.
  3. "You", "your" refers to the person over 18 making the booking and agreeing to these terms and conditions.
  4. "Photography genre" refers to the photographic equipment and background used to create a particular look. "Lifestyle" images have the actual location in the background whilst "studio" images feature a background provided by the photographer.

 

Booking        

  1. The booking is completed following payment.
  2. Not paying within 48 hours of receiving a booking form may mean your preferred appointment date and time is no longer available.
  3. Failure to pay before the appointment date will postpone the booking.
  4. Portrait session packages can be upgraded from a lifestyle session to studio session up to 48 hours before the appointment time after the balance has been paid. Payment will be due before the session day. Packages of the same photography genre can be upgraded after the session by purchasing additional products. Families wishing to have both studio set up and lifestyle photographs will need to purchase two portrait session packages to cover double the time on the day and editing. Double the number of images would be received.
  5. Portrait session packages can only be downgraded from a studio session to an outdoor lifestyle session after balance payment in the event of the photographer being unable to provide a service in your home in the event of government epidemic/pandemic social restrictions.
  6. Studio sessions are to take place in your home or a relative's home. Lifestyle sessions can take place in your home (often lounge, nursery or garden) or a nearby outdoor location, subject to the land owner's permission. Any hire, travel, or parking costs for your preferred indoor or outdoor location would be at your own expense. 
  7. Anyone driving to a session is responsible for where they choose to leave their vehicle. No liability will be taken by the photographer for any damage, theft or parking fines, etc.
  8. Any travel expenses for the photographer will be quoted prior to booking. This could include petrol, parking or congestion charges, food, and accommodation expenses. 
  9. No expenses will be added after the booking has been completed providing the photography session home/location/venue agreed when booking does not change. Any changes to photography session home/location/venue may incur travel or accommodation expenses.
  10. Any visitor parking permits or parking payments for the photographer's vehicle at your home or choice of location or venue is to be arranged by you. Free parking is also to be provided for any ordering or delivery appointments after the portrait session.
  11. All prices at the time of booking will be honoured for portrait session packages. Prices for optional products and any special offers are subject to change 1 month after your photographs have been uploaded to your client area.
  12. Any products pre-ordered and paid for before the portrait session are non-refundable but can be changed to an alternative product before the proofing process starts.
  13. Payments for albums and other products before the portrait session will be considered part of the portrait session package payment where the postponement and cancellation policy is concerned providing they have not been ordered.
 

Postponement or Cancellation  

  1. Portrait session packages are non-refundable 30 days after payment to complete the booking has been received. In the event of cancellation after this time they can be transferred to someone else or another service/product of the same value paid. A gift card would be issued in this circumstance.
  2. There is no charge for postponing your portrait session due to illness, self isolating in an epidemic/pandemic or reasonable circumstances. Rearranging for a weekend will be subject to availability. Payments made can be transferred to a new date or photography service/products of the same value or higher. Sessions booked with gift cards can also be rearranged in these circumstances. Please notify the photographer by phone or text at least one hour before the start of your appointment time where possible.
  3. Lifestyle sessions at outdoor locations cannot be postponed due to weather. All participants are advised to dress for the weather. In the event of torrential rain or storms an indoor alternative location in your/a relative’s home is to be provided. Exceptions will be made when an indoor alternative location is not permitted due to government restrictions in an epidemic/pandemic preventing the photographer from providing the service.
  4. In the unlikely event a participant doesn't feel well enough to complete the portrait session, an additional session appointment can be booked for £75, plus expenses if charged for, for the original session.
  5. Refunds, if applicable, will be given using the same payment method monies were received to the person who paid. If a gift card purchased from Diane Frazer Photography directly was used to book the portrait session a new gift card to the same value will be issued to the recipient to spend on any services or products in due course.
  6. If a gift card received either as a complimentary prize issued by Diane Frazer Photography or a donated prize for third party fundraiser is used to book a session which is subsequently cancelled it cannot be not exchanged for the cash value, the amount paid in a fundraising auction etc, any other service or product. It can be given to someone else to use by the expiry date. Expiry dates will only be extended in circumstances where the photographer is forced to cancel.
  7. For those choosing to pay by PayPal (debit/credit card or PayPal account), payments will have a percentage of the payment non-refundable in all circumstances when pay later offline alternative fee exempt methods (internet banking or cheque) are offered. This retainable percentage is subject to change by PayPal at any time with no notice. An advisory of the amount will be included in your invoice and subject to change if making payment is delayed. For these PayPal transactions the cooling off period will be determined as the time between completing the booking form/placing an order on the Diane Frazer Photography website and paying separately after reviewing the invoice at your convenience.
  8. In the event Diane Frazer is hospitalised, forced to self isolate under government epidemic/pandemic social restrictions or unable to travel to the portrait session location due to adverse weather conditions the portrait session appointment will be rescheduled at the earliest possible time. Refunds will only be given for newborn portrait sessions to allow an alternative photographer to be booked within the first two weeks of the baby's life or in other reasonable circumstances where timescales are essential.
  9. In the event of postponement on more than one occasion or cancellation of a rearranged portrait session the same terms and conditions will apply.

 

Photography

  1. Copies of insurance documents can be shown prior to booking and a copy supplied to any venue/location hired by you if requested. A risk assessment can also be provided.
  2. The photographer's DBS can be viewed by request. This is a basic DBS, the highest possible for a self application.
  3. A portrait session can be for children and/or pets only, however an adult must be present at all times.
  4. Photographic requests are to be submitted in writing no later than 2 days before the portrait session. Additional photograph requests can be taken on the day; however no liability will be taken if it isn't possible to take them within the time of the portrait session package paid for.
  5. Additional participants can attend on the day for lifestyle portrait session packages providing all those present comply with any government social restrictions in the event of an epidemic/pandemic.
  6. Additional people may attend a studio portrait session however the number of people able to be photographed at any one time will be limited to who can fit in front of the 7x6 foot background. An additional minimum charge of £125 per image will apply for merging photographs together. Requests need to be made prior to the photographs being taken to ensure both images are taken in the same way for correct perspective in the final image.
  7. The number of people permitted to watch or be involved is to comply with any government social restrictions in the event of an epidemic/pandemic and maybe restricted in these circumstances.
  8. Photographs of fireworks, pyrotechnics and with sparklers, smoke bombs, Chinese lanterns, or similar are to be requested a minimum of 14 days before the portrait session to allow provisions for any additional insurance to be arranged. They will not be provided or setup by the photographer.

  10. For lifestyle portraits sessions the home/location/venue acting as the background should be clean and tidy ready for the agreed start time.
  11. No liability will be taken for missing or lack of variety of photographs under circumstances out of the photographer's control. These may include restricted movement at the location including physical characteristics or permissions; social distancing restrictions imposed by government in the event of an epidemic/pandemic; sudden obstruction or actions by anyone, time constraints caused by delays including late arrival, changing or feeding; people refusing to be in photographs; weather conditions; changes in the flora either naturally or by the land owners; traffic; theft of memory cards and other equipment.
  12. No liability will be taken for accidents on council or private property not owned by Diane Frazer Photography caused by physical characteristics of the location, weather conditions, belongings (furniture, equipment etc) and people not employed by Diane Frazer Photography.
  13. Any unlikely accidents caused by the photographer or their equipment are to be reported immediately. No liability will be taken for accidents reported after the portrait session and meetings.
  14. Any verbal or physical abuse, hostile, threatening, or inappropriate behaviour towards the photographer, theft or damage of equipment will not be tolerated and will result in the photographer terminating the portrait session and/or the booking for their own safety. Any theft or damage of equipment by you or persons you are responsible for will be charged for.
  15. Diane Frazer Photography is to be made aware if anyone suffers from photosensitive epilepsy that maybe triggered as a result of lighting equipment to be used.
  16. You'll be responsible for paying for any damage to any venue hired caused by you or persons you are responsible for.

 

Viewing Online

  1. Watermarks will not feature on ordered products.
  2. The final post production and editing styles, effects, and overall look of the images are left to the discretion of the photographer.
  3. All images are colour balanced however colours of clothes may differ to real life and vary throughout as the natural light changes.
  4. The photographs may vary in colour depending on the monitor they are viewed on.
  5. You will be provided with a unique and secure password to view your photographs on www.dianefrazerphotography.co.uk/login as soon as possible, usually 2 to 3 weeks after your portrait session depending on my diary at the time. A quicker turnaround time is to be booked and paid for before the portrait session and subject to availability to block out the photographer's diary for immediate days after the portrait session to guarantee editing time. 
  6. Anyone requesting the login details will be asked to contact the person who booked the portrait session.
  7. The online slideshow is a feature of the website and maybe withdrawn by the website company at any given time with no notice.

 

Ordering

  1. High resolution JPEG files (supplied in the 3:2 aspect ratio they were taken in) are included with every portrait session package, excluding mini sessions.
  2. Digital photographs are delivered as downloads by email after ordering within your client area.
  3. Any product/s included with the portrait session package, excluding digital downloads, can only be substituted for a product of the same value.
  4. There is no obligation to purchase anything in addition to the products included in the portrait session package purchased.
  5. Reasonable steps are taken to ensure USB sticks are suitable for use on various devices, however due to ever changing technology, the vast range of devices available and their tendency to corrupt; no liability will be taken for any incompatibility issues.
  6. It is recommended to purchase your portrait session package products before distributing your password to family and friends who have not contributed. No liability will be taken for relatives ordering your portrait session package products.
  7. Home visit viewing appointments are £125 with the cost put towards any products ordered during the appointment. A free viewing of products prior to ordering online can be booked in advance for after the portrait session, subject to availability and depending on the location of the session.  
  8. The photographs of the products are examples and not to scale. All product sizes quoted are approximate.
  9. At checkout the chosen image is to be cropped to suit the aspect ratio of the product ordered. On average 0.5" will be hidden in the framing process including removable print mounts. Album pages may be trimmed slightly in comparison to the proofs due to creep in the binding process. Albums have been designed with this in mind and all picture boxes are placed within the supplier's recommended safe margin thus likely only to affect full bleed images up to 0.5" around the edge. 
  10. The colours of the products are as accurate as possible due to the variations of materials and computer monitor displays.
  11. Due to the organic makeup of the natural materials used by suppliers for their products minor surface imperfections may be present. The grain and colour of wooden frames may vary and over time have a tendency to darken.
  12. In the unlikely event of product suppliers discontinuing any of the products advertised at anytime a similar alternative will be offered. If an alternative product is refused, a refund for that item will be given, minus any PayPal or debit/credit card transaction fees if a pay later offline alternative fee exempt method (internet banking or cheque) was offered.
  13. All photographs uploaded to the client area will be received as shown with basic subtle airbrushing of any minor blemishes already done during the editing stage to the same standard as shown on www.dianefrazerphotography.co.uk/portraits.
  14. Any further digital retouch work, including clothing alterations and venue imperfections is to be requested and a quote will be given to cover additional time spent editing. The price will vary depending on the nature of the request and the number of photographs the alteration is to be done to. After receiving the quote the photograph/s can be left as they are or the additional retouch work paid for.
 

Promotional Discounts and Gift Vouchers

  1. Any valid discounts or promotions will be deducted at checkout.
  2. Gift cards are a voucher code, delivered as an email link that works like regular gift voucher. No physical card will be issued.
  3. Any gift list contributions from various buyers can be added together as one gift card to spend on any product or service.
  4. Gift card voucher codes are to be entered at checkout. They can also be assigned to a client area for spending on the next transaction (not recommended for shared client areas or on public computers).
  5. Multiple gift cards can be used by any number of people for any number of purchases of products/services until the total value has been redeemed.
  6. Orders placed for physical products to the same value as the gift card will be subject to shipping costs. Any free shipping promotions will show at checkout when ordering products.

Payment, Proofs and Order Cancellation

  1. Payments for debit/credit cards are taken through PayPal with or without a PayPal account. The Diane Frazer Photography website will load the payment gateway to complete the purchase or where additional offline pay later options (internet banking or cheque) are offered too, payment instructions will appear at the end of the checkout process and in your invoice sent to the email address supplied.  
  2. Diane Frazer Photography is not responsible for bank transfers being sent to an incorrect account, cheques/cash being lost in the post, cheques bouncing, or banks/PayPal refusing tender.
  3. Delays transferring or posting payment for photographs will delay the order being sent off for printing.
  4. Please check the invoice/receipt with proofs carefully. Any mistakes ordering (wrong image/orientation/incorrect text) for USB sticks, prints, and giftware are to be notified within the 48 hour cooling-off period. Due to the bespoke nature of the product refunds or exchanges cannot be given after the order has been sent off for printing.
  5. Full refunds for PayPal payments within the 48 hour cooling off period will only be given in circumstances where the Diane Frazer Photography website loads the PayPal gateway automatically. Where a pay offline later option is offered with alternative fee exempt payment instructions (internet banking or cheque) the cooling off period will be determined as the time between placing the order and paying separately after reviewing the invoice at your convenience.
  6. Some products including albums and frames will require separate proofs to be completed and will only be sent off for printing once approved in writing or using the proofing form. 48 hours will be left after the approval of proofs before printing as an additional cooling-off period for any final alterations. These products will state if separate proofs will be sent in the product description.
  7. The proofing process is to be completed within a reasonable amount of time. Proofs will be sent to review after each set of changes.
  8. No communication with Diane Frazer Photography for 3 months after receiving a set of proofs may incur additional costs to cover any supplier price increase. This includes discontinuation of the product in favour of a more expensive alternative. If no suitable alternative can be offered any refunds will be minus a fee to cover the photographer’s time.
  9. Digital photograph files (portrait session packages) are non exchangeable or refundable once the portrait session has taken place.

 

Delivery of Photographs

  1. All items in the same order will be delivered together. Any request to send items ready sooner separately will incur postal or courier charges.
  2. Orders will be ready within 30 days of payment being cleared or from proofs being approved, whichever is the latter.
  3. Diane Frazer photography is not responsible for any unlikely delays with bespoke products being made at third party suppliers or any delays with the postal and courier services. In the event of severe weather conditions, a natural disaster or an epidemic/pandemic, suppliers and/or couriers may be forced to stop the service they provide temporarily. All orders placed during this time will be put on hold until they are permitted to return to work. 
  4. Any physical items included with your chosen portrait package on booking will qualify for free UK delivery.
  5. Any promotions for free UK delivery of optional products will show in your client area. If an international shipping address has been supplied the order will be put on hold until an alternative care of UK address has been provided or payment for international delivery (including any liable taxes) is made after requesting a quote.
  6. Weekend and evening delivery for local orders (30 miles from Reading, Berkshire) of albums and frames is subject to availability of delivery appointments. Weekend delivery upgrade for all other items being sent by postal or courier companies will be charged for. 
  7. Where a free local delivery appointment has been offered at the earliest possible time, any request to send the order sooner by courier will be charged for.
  8. Delivery addresses can be changed providing the order hasn't been dispatched to ensure someone will be available to sign for it on a weekday. Posting can also be delayed by request if the recipient is going to be away.
  9. In the event of any damage occurring during delivery please leave a message with Diane Frazer Photography the same day by email or phone. Replacements can be arranged on return of the damaged goods. It is advisable to get a certificate of posting and a tracking number as no liability will be taken for the loss of items being returned by the post or courier.
  10. Any damaged items being replaced are to be reprinted exactly the same. No alterations to the image/s, orientation, or product (colour, style, size, or text etc) can be made.
  11. Due to the bespoke nature of the products unwanted items will not be replaced free of charge. Any costs for altering the product and subsequent delivery expenses will be charged for and a quote sent prior to the return of the unwanted item.
  12. No photographs will be delivered by email directly from Diane Frazer. All orders for digital files are to be placed and downloaded through the website.
  13. USB sticks cannot be returned to have additional digital files added to prevent Diane Frazer Photography computers catching any viruses.

 

Looking After Your Photographs

  1. The photographs are printed using high quality professional printers but should still be kept out of direct sunlight in a dry environment away from high humidity levels to keep them in good condition.
  2. To clean your photographs use a dry, clean duster.
  3. It is advisable to make multiple copies of your high resolution digital photographs on different devices as soon as you receive them to make them compatible with ever changing technology and in the event of any image corruption.
  4. All photographs will be archived by Diane Frazer Photography, unless requested otherwise. No liability will be taken for loss of photographs by Diane Frazer Photography after 3 years.

 

Copyright

  1. The 1988 Copyright, Designs and Patents Act assigns the copyright of all photographs to Diane Frazer Photography when they are taken.
  2. High resolution photographs can be printed and copied royalty free for personal use. They are not to be sold to anyone.
  3. With the exception of cropping to different aspect ratios for display purposes, the photographs cannot be digitally manipulated in any way to maintain the artistic integrity of the images protected by intellectual property rights.
  4. Any people taking their own photographs during the session will be asked to delete the images.
  5. Photographs can be uploaded to social network websites. Images received will not be watermarked. Liking and tagging the Diane Frazer Photography Facebook page or Instagram page is much appreciated.
  6. Photographs without identities (hands, feet, cake, flowers etc) will be used for marketing by Diane Frazer photography and shared with any venue/s and suppliers.
  7. Diane Frazer Photography will ask you when ordering, to give or refuse consent to use their other photographs in the public domain for marketing. Images will be used on the Diane Frazer Photography website, on electronic devices owned by Diane Frazer for the purpose of a portfolio slideshow, email marketing, promotional material, and sample products. Other participants should be made aware if permission is given in case they don't wish to have the photographs they feature in used. Only photographs of whoever has ticked the 'yes' permissions box and their immediate family (spouse/partner/children) will be used on third party directory websites and social media whereby Diane Frazer Photography has login details to control the content. These can be listed upon request.
  8. Diane Frazer Photography will not distribute any photographs showing identities with any third party without your consent. Other suppliers (hairdresser, make-up artist, baker, clothes shop, venue, etc) can be given free digital copies of the portraits to help promote their business in exchange for them crediting Diane Frazer Photography for the images. Images are not to be sold to any third party.
 

Privacy Policy

  1. Any personal data including names, addresses, contact numbers and other information relevant to the photography service are collected, kept confidential and not distributed to any third party.
  2. If you believe that any information Diane Frazer Photography holds on you is incorrect or incomplete, please email data@dianefrazerphotography.co.uk as soon as possible.
  3. You will only be contacted regarding your booking and subsequent order/s. When ordering you will have the option to opt in or out to receive the Diane Frazer Photography seasonal newsletter, which you can 'unsubscribe' from at any time.

For Bookings after 5 August 2024
 

General

  1. Please make sure all contact details supplied are correct.
  2. The timescales are a guide. All services will be completed as soon as possible with any unlikely delays notified.
  3. "You", "your" refers to the person over 18 completing the booking and agreeing to these terms and conditions.
  4. "Photography genre" refers to the photographic equipment and background used to create a particular look. "Lifestyle" images have the actual location in the background whilst "studio" images feature a background provided by the photographer.
  5. "Mini session" refers to a short portrait session and "mini session day" refers to all the mini session appointments available on the same day.

 

Booking        

  1. Your booking is completed following a session payment which is put towards your purchase of photos from that mini session.
  2. Mini session day locations are decided by the photographer. Anyone wishing to choose their location and day can pay to upgrade their booking to a standard portrait session package which will take place on another day at a location of their choice within 30 miles of Reading in Berkshire, subject to availability. 
  3. Any travel or parking costs to attend the mini session location is at your own expense.
  4. Directions to the location will be provided including parking options. Anyone driving to a mini session is responsible for where they choose to leave their vehicle. No liability will be taken by the photographer for any damage, theft or parking fines, etc.
  5. Some outdoor woodland locations to have specific flora such as bluebells in the background may be a 5 or 10 minute walk from the nearest parking, have uneven paths and no toilet or changing facilities nearby. Please ask prior to booking if this would concern you.
  6. Free parking is to be provided for the photographer at any ordering or delivery appointments.
  7. Session payments for future mini session days, prices for products and any special offers are subject to change 1 month after your photographs have been uploaded to your client area.
  8. Any payments for products before the mini session will be considered part of the session payment where the postponement and cancellation policy is concerned providing they have not been ordered.
 

Postponement or Cancellation  

  1. Mini session payments are non-refundable. There is a 48 hour cooling off period after paying providing your mini session has not taken place within this time.
  2. An exception will be made to allow refunds for cancellations in circumstances out of your control whereby the photographer has to change the location, reschedule, or cancel the mini session day.
  3. Should you need to postpone due to illness, self isolating in an epidemic/pandemic or for reasonable unforeseen circumstances your session payment can be transferred to another mini session day providing your appointment is rescheduled via Calendly to make it immediately available to someone else.
  4. If there are no available or suitable times to reschedule your mini session you’ll be required to cancel the appointment via Calendly to make it available to someone else and will be notified when new mini session appointments become available in due course.
  5. Failure to reschedule or cancel your appointment via Calendly will result in the session payment being retained or any gift voucher used to pay for the session becoming void to cover the inability to sell the appointment time to anyone else. If you choose to re-book on a different mini session day another session payment will be taken and the value of both session payments will be combined to spend on photos taken at your rearranged mini session.
  6. All participants are advised to dress for the weather. Lifestyle sessions at outdoor locations can only be postponed due to weather by the photographer in the event of torrential rain or storms.
  7. In the unlikely event a participant doesn't feel well enough to complete the mini session, you'll be invited to come back at the end of the mini session day or in any spare spaces the same day for no extra cost, subject to availability. If this isn't possible an additional mini session can be purchased for a future mini session day and both session payments will be combined to spend on on photos from both mini sessions.
  8. If your child cries throughout your mini session and the photographer is unable to take any photos your session payment can be transferred to another mini session appointment on a different day.
  9. Refunds, if applicable, will be given using the same payment method monies were received to the person who paid.
  10. If a gift voucher received either as a complimentary prize issued by Diane Frazer Photography or a donated prize for third party fundraiser is used to book a session which is subsequently cancelled it cannot be not exchanged for the cash value, the amount paid in a fundraising auction etc, any other service or product. It can be given to someone else to use by the expiry date. Expiry dates will only be extended in circumstances where the photographer is forced to cancel the mini session day.
  11. Session payments through PayPal via Calendly will be fully refundable, if applicable. When pay later offline alternative fee exempt methods (internet banking or cheque) are offered, those choosing to pay by PayPal (debit/credit card or PayPal account); payments will have a percentage of the payment non-refundable in all circumstances. This retainable percentage is subject to change by PayPal at any time with no notice. An advisory of the amount will be included in your invoice and subject to change if making payment is delayed. For these PayPal transactions the cooling off period will be determined as the time between completing the booking form/placing an order on the Diane Frazer Photography website and paying separately after reviewing the invoice at your convenience.
  12. In the event Diane Frazer is hospitalised, forced to self isolate under government epidemic/pandemic social restrictions, unable to travel due to adverse weather conditions, or the advertised flora isn’t in bloom, the mini session day will be rescheduled at the earliest possible time. A refund of your mini session payment will be given if you are unable to make the rearranged day.
  13. In the event you postpone on several occasions Diane Frazer Photography reserves the right to refuse advance booking of future mini sessions.

 

Photography

  1. Copies of insurance documents and a risk assessment can be shown prior to booking.
  2. The photographer's DBS can be viewed by request. This is a basic DBS, the highest possible for a self application.
  3. A mini session can be for children and/or pets only, however an adult must be present at all times. With the exception of service dogs, pets may not be permitted to attend a mini session day due to the venue or locations terms and conditions. Please check prior to booking.
  4. As many photos as possible will be taken during your allocated time.
  5. Additional participants may attend on the day for lifestyle portrait session packages however your time allocated won't be increased unless two mini session appointments are purchased.
  6. Lifestyle sessions taking place in a vast open area such as a park will be restricted to a particular area a few minutes from the meeting point.
  7. Additional people may attend a studio mini session however the number of people able to be photographed at any one time will be limited to who can fit in front of the 7x6 foot background. An additional minimum charge of £125 per image will apply for merging photographs together. Requests need to be made prior to the photographs being taken to ensure both images are taken in the same way for correct perspective in the final image.
  8. The number of people permitted to be involved in the mini session and/or watching may differ to the seasonal mini session day advertised to comply with any government social restrictions in the event of an epidemic/pandemic or changes to any hired venue regulations.
  9. Requests for photographs with fireworks, pyrotechnics, sparklers, smoke bombs, Chinese lanterns in a mini session won’t be accepted.
  10. The style of photography will be as seen on www.dianefrazerphotography.co.uk/portraits.
  11. The photography genre will be advertised for the mini session day and subject to change.
  12. No liability will be taken for missing or lack of variety of photographs under circumstances out of the photographer's control. These may include restricted movement at the location including physical characteristics or permissions; social distancing restrictions imposed by government in the event of an epidemic/pandemic; sudden obstruction or actions by anyone, time constraints caused by delays including late arrival, changing or feeding; people refusing to be in photos; weather conditions; changes in the flora either naturally or by the land owners; traffic; theft of memory cards and other equipment.
  13. No liability will be taken for accidents on council or private property not owned by Diane Frazer Photography caused by physical characteristics of the location, weather conditions, belongings (furniture, equipment etc) and people not employed by Diane Frazer Photography.

Please check the invoice/receipt with proofs carefully. Any mistakes ordering (wrong image/orientation/incorrect text) for USB sticks, prints, and giftware are to be notified within the 48 hour cooling-off period. Due to the bespoke nature of the product refunds or exchanges cannot be given after the order has been sent off for printing.
  6. Full refunds for PayPal payments within the 48 hour cooling off period will only be given in circumstances where the Diane Frazer Photography website loads the PayPal gateway automatically. Where a pay offline later option is offered with alternative fee exempt payment instructions (internet banking or cheque) the cooling off period will be determined as the time between placing the order and paying separately after reviewing the invoice at your convenience.
  7. Some products including albums and frames will require separate proofs to be completed and will only be sent off for printing once approved in writing or using the proofing form. 48 hours will be left after the approval of proofs before printing as an additional cooling-off period for any final alterations. These products will state if separate proofs will be sent in the product description.
  8. The proofing process is to be completed within a reasonable amount of time. Proofs will be sent to review after each set of changes.
  9. No communication with Diane Frazer Photography for 3 months after receiving a set of proofs may incur additional costs to cover any supplier price increase. This includes discontinuation of the product in favour of a more expensive alternative. If no suitable alternative can be offered any refunds will be minus a fee to cover the photographer’s time.
  10. Mini session payments become non refundable or transferable once the session has taken place and can then only be spent on photographs taken during that session time.
  11. Due to the irreversible nature of delivery and ease of copying all orders for digital downloads will not be refunded. Refunds for digital downloads will only be given for identical orders whereby the same digital image has been ordered twice using the same email address.

 

Delivery of Photographs

  1. All items in the same order will be delivered together. Any request to send items ready sooner separately will incur postal or courier charges.
  2. Orders will be ready within 30 days of payment being cleared or from proofs being approved, whichever is the latter.
  3. Diane Frazer photography is not responsible for any unlikely delays with bespoke products being made at third party suppliers or any delays with the postal and courier services. In the event of severe weather conditions, a natural disaster or an epidemic/pandemic, suppliers and/or couriers may be forced to stop the service they provide temporarily. All orders placed during this time will be put on hold until they are permitted to return to work. 
  4. Any promotions for free UK delivery of optional products will show in your client area. If an international shipping address has been supplied the order will be put on hold until an alternative care of UK address has been provided or payment for international delivery (including any liable taxes) is made after requesting a quote.
  5. Weekend and evening delivery for local orders (30 miles from Reading, Berkshire) of albums and frames is subject to availability of delivery appointments. Weekend delivery upgrade for all other items being sent by postal or courier companies will be charged for. 
  6. Where a free local delivery appointment has been offered at the earliest possible time, any request to send the order sooner by courier will be charged for.
  7. Delivery addresses can be changed providing the order hasn't been dispatched to ensure someone will be available to sign for it on a weekday. Posting can also be delayed by request if the recipient is going to be away.
  8. In the event of any damage occurring during delivery please leave a message with Diane Frazer Photography the same day by email or phone. Replacements can be arranged on return of the damaged goods. It is advisable to get a certificate of posting and a tracking number as no liability will be taken for the loss of items being returned by the post or courier.
  9. Any damaged items being replaced are to be reprinted exactly the same. No alterations to the image/s, orientation, or product (colour, style, size, or text etc) can be made.
  10. Due to the bespoke nature of the products unwanted items will not be replaced free of charge. Any costs for altering the product and subsequent delivery expenses will be charged for and a quote sent prior to the return of the unwanted item.
  11. No photographs will be delivered by email directly from Diane Frazer. All orders for digital files are to be placed and downloaded through the website.
  12. USB sticks cannot be returned to have additional digital files added to prevent Diane Frazer Photography computers catching any viruses.

 

Looking After Your Photographs

  1. The photographs are printed using high quality professional printers but should still be kept out of direct sunlight in a dry environment away from high humidity levels to keep them in good condition.
  2. To clean your photographs use a dry, clean duster.
  3. It is advisable to make multiple copies of your high resolution digital photographs on different devices as soon as you receive them to make them compatible with ever changing technology and in the event of any image corruption.
  4. All photographs will be archived by Diane Frazer Photography, unless requested otherwise. No liability will be taken for loss of photographs by Diane Frazer Photography after 3 years.

 

Copyright

  1. The 1988 Copyright, Designs and Patents Act assigns the copyright of all photographs to Diane Frazer Photography when they are taken.
  2. High resolution photographs can be printed and copied royalty free for personal use. They are not to be sold to anyone.
  3. With the exception of cropping to different aspect ratios for display purposes, the photographs cannot be digitally manipulated in any way to maintain the artistic integrity of the images protected by intellectual property rights.
  4. Any people taking their own photographs during the session will be asked to delete the images.
  5. Photographs purchased can be uploaded to social network websites. Images received will not be watermarked. Liking and tagging the Diane Frazer Photography Facebook page or Instagram page is much appreciated.
  6. Photographs without identities (hands, feet, cake, flowers etc) will be used for marketing by Diane Frazer photography and shared with any venue/s and suppliers.
  7. Diane Frazer Photography will ask you when ordering, to give or refuse consent to use your other photographs in the public domain for marketing. Images will be used on the Diane Frazer Photography website, on electronic devices owned by Diane Frazer for the purpose of a portfolio slideshow, email marketing, promotional material, and sample products. Other participants should be made aware if permission is given in case they don't wish to have the photos they feature in used. Only photos of whoever has ticked the 'yes' permissions box and their immediate family (spouse/partner/children) will be used on third party directory websites and social media whereby Diane Frazer Photography has login details to control the content. These can be listed upon request.
  8. Diane Frazer Photography will not distribute any photographs showing identities with any third party without your consent. Other suppliers (hairdresser, make-up artist, baker, clothes shop, venue, etc) can be given free digital copies of the portraits to help promote their business in exchange for them crediting Diane Frazer Photography for the images. Images are not to be sold to any third party.

 

Privacy Policy

  1. Any personal data including names, addresses, contact numbers and other information relevant to the photography service are collected, kept confidential and not distributed to any third party.
  2. If you believe that any information Diane Frazer Photography holds on you is incorrect or incomplete, please email data@dianefrazerphotography.co.uk as soon as possible.
  3. You will only be contacted regarding your booking and subsequent order/s. When ordering you will have the option to opt in or out to receive the Diane Frazer Photography seasonal newsletter, which you can 'unsubscribe' from at any time.

Event Booking | Terms and Conditions
 
For Bookings after 6 April 2022

 

General

  1. Please make sure all contact details supplied are correct.
  2. The timescales are a guide. All services will be completed as soon as possible with any unlikely delays notified.
  3. The "event" refers to a private party or gathering for family and friends including weddings with no ceremony coverage.
  4. For the purpose of these terms & conditions the "event organiser" refers to the person over 18 completing the booking form and agreeing to these terms and conditions.

 

Booking        

  1. The booking is completed following full payment or a deposit of £195.
  2. Failure to pay at least a deposit as soon as possible may mean your event date is no longer available.
  3. Where a deposit has been paid on booking, the coverage balance payment will be due one calendar month before the event. Failure to pay the event coverage balance will cancel the booking and the deposit will be retained.
  4. Event coverage can be upgraded before the event day after the balance has been paid. Payment will be due before the event day.
  5. Event coverage can only be downgraded after balance payment in the event of government epidemic/pandemic social restrictions cancelling aspects of the event.
  6. Provisions for a main meal or a working lunch in the venue bar or designated supplier area are much appreciated for events longer than six hours.
  7. Any travel or accommodation expenses will be quoted prior to booking. This could include petrol, parking charges, congestion charges, food, and accommodation expenses. No expenses will be added after the booking has been completed providing the event venue/s listed on the booking form do not change. Coverage is continuous and includes travel time in between venues.
  8. Any changes to the venue/s listed in the booking form may incur travel or accommodation expenses.
  9. Any visitor parking permits or parking payments for the photographer's vehicle at any venue, if different to the venue/s listed on the booking form, is to be arranged by the event organiser. Free parking is also to be provided for any ordering or delivery appointments after the event.
  10. Prices for products, any special offers, and terms and conditions for additional orders are subject to change 1 month after the event photos have been uploaded to your client area.
  11. Albums can be pre-ordered and paid for before the event. They are non-refundable but can be upgraded to an alternative album or product before the proofing process starts once all photographs have been edited.
  12. Payments for albums and other products before the event will be considered part of the event coverage balance payment where the postponement and cancellation policy is concerned providing they have not been ordered.
  13. By special request for large events a second photographer quote can be given for their attendance on the day and subsequent extra post production work for Diane Frazer Photography. This is available as an extra service after booking and subject to availability. Prices may vary depending on other photographer's available. Any cancellation of the second shooter by the event organiser will not be refunded. Payments will only be transferable to another Diane Frazer Photography product or service if the second shooter hasn’t charged Diane Frazer Photography a cancellation fee.

 

Postponement or Cancellation  

  1. The deposit is non-refundable after 30 days.
  2. Where full payment has been made, £195 is referred to as the deposit and the remainder of monies paid called the balance payment.
  3. If the event is postponed any payments can be transferred to the new date, subject to availability. 
  4. Should Diane Frazer Photography have another booking on the rearranged day or a request to cancel the booking is made, a refund of any balance payments will be given. The deposit will be retained as compensation for income turned away after reserving the date exclusively.
  5. An exception will be made to postponements or cancellations whereby an event photography service cannot be offered to anyone else on the same day. This includes a natural disaster or government restrictions in an epidemic/pandemic. A deposit refund will be given after an attempt to transfer the booking to a new date.
  6. The deposit will only be refunded for cancellations whereby the event continues to take place on the original date if the photographer is not permitted to supply any form of photography service. This excludes the circumstance of choosing to cancel the photography service in favour of inviting a guest when the photographer’s attendance is included in restricted guest numbers. Refunds will be issued, if applicable, following written confirmation from the venue confirming the photographer is not permitted onsite at any time during the event including outdoor areas due to epidemic/pandemic social distancing government restrictions. For events at private residential venues refunds will be issued, if applicable, if the UK government website publishes information regarding the photographer's inability to work in another household during an epidemic/pandemic. Small bespoke event coverage will be arranged if the photographer is only able to provide a limited service.
  7. Bringing the event date forwards for any circumstance with less than 72 hours notice giving the photographer minimal or no time to prepare their equipment and/or travel to the venue will be considered unreasonable. This will be treated as going ahead without the photographer and subsequently a cancellation of the photography, if the photographer is unable to arrive prepared at the venue in time. The deposit will be retained to cover any pre-event work done and/or as compensation for other bookings turned away on the original date
  8. Deposit refunds for event cancellations will only be given if the venue is closed on their event date or if the photographer is unable to work in any private residence due to epidemic/pandemic social distancing government restrictions.
  9. In the event the event is postponed or cancelled due to the event organiser or key guests are self isolating under government epidemic/pandemic restrictions on the date of the event a retainer fee will be waived if a photography service cannot be supplied on an alternative date due to unavailability of the photographer, photographer’s attendance onsite denied due government social restrictions or if the event isn't rearranged for another day.
  10. Refunds, if applicable, will be given using the same payment method monies were received to the person who paid.
  11. For those choosing to pay by PayPal (debit/credit card or PayPal account), payments will have a percentage of the payment non-refundable in all circumstances when pay later offline alternative fee exempt methods (internet banking or cheque) are offered. This retainable percentage is subject to change by PayPal at any time with no notice. An advisory of the amount will be included in your invoice and subject to change if making payment is delayed. For these PayPal transactions the cooling off period will be determined as the time between completing the booking form/placing an order on the Diane Frazer Photography website and paying separately after reviewing the invoice at the event organiser’s convenience.
  12. In the event Diane Frazer is hospitalised, forced to self isolate under government epidemic/pandemic social restrictions or unable to travel to the venue/s due to adverse weather conditions Diane Frazer Photography has a procedure in place to find another photographer as emergency cover. In the first instance cover will be found for the event at no additional cost to the event organiser. The editing and the rest of the event photography package service will be completed by Diane Frazer Photography.
  13. In some circumstances cover for the complete job including editing and delivery of images may be required. Emergency cover procedures will be put in place to help find a replacement photographer. A refund of any monies paid will be given for the event organiser to use to pay the new photographer and the contract with Diane Frazer Photography cancelled. Diane Frazer Photography will not be liable for any price differences should the alternative photographer taking on the booking wish to charge more for the same, similar, or different service at any time.
  14. In the event of postponement on more than one occasion or cancellation of a rearranged event the same terms and conditions will apply.

 

Photography

  1. Copies of insurance documents can be shown prior to booking and a copy supplied to the venue if requested. A risk assessment can also be provided after seeing the venue. Please ask the venue's event co-ordinator to contact Diane Frazer Photography to discuss.
  2. Photographs of fireworks, pyrotechnics and with sparklers, smoke bombs, Chinese lanterns, or similar are to be requested a minimum of 14 days before the event to allow provisions for any additional insurance to be arranged. They will not be provided or setup by the photographer.
  3. The photographer’s DBS can be viewed by request. This is a basic DBS, the highest possible for a self application. An enhanced check can be done by request however this will need to be completed by the venue or the event organiser and at their expense.
  4. Before the event a photography schedule will be sent by email. The timings in the schedule will be a guide and go with the flow of the event. Any significant changes to times and additional photographic requests are to be submitted in writing no later than 4 days before the event. Additional photograph requests can be taken on the day; however no liability will be taken if it isn't possible to take them within the flow and time constraints of the event. In the event of another photographer being involved as a second shooter or emergency cover a copy of the photography schedule and any other relevant details required for use on the event day will be emailed to them. No liability will be taken by Diane Frazer Photography for images not taken by a third party photographer.
  5. The style of photography will be as seen on www.dianefrazerphotography.co.uk/events.
  6. Photographers acting as a second photographer or emergency cover will be told to photograph in the same style as Diane Frazer Photography’s portfolio. Some variations may occur due to differences in photographic equipment and techniques used.
  7. No liability will be taken for missing or lack of variety of photographs under circumstances out of the photographer's control. These may include restricted movement and photography permissions by the officiant; restricted movement at the venue including physical characteristics or staff permissions; social distancing restrictions imposed by government in the event of an epidemic/pandemic; sudden obstruction or actions by anyone including guests, officiant, videographers and venue staff during uninterruptible moments; time constraints caused by delays in the event day schedule; people refusing to be in photographs; guests who arrive late, leave early or disappear to their accommodation; during the photographer’s meal break (usually whilst guests are eating); weather conditions; traffic; theft of memory cards and other equipment.
  8. No liability will be taken for accidents on council or private property not owned by Diane Frazer Photography caused by physical characteristics of the location, weather conditions, belongings (furniture, equipment etc) and people not employed by Diane Frazer Photography.
  9. Any unlikely accidents caused by the photographer or their equipment are to be reported immediately. No liability will be taken for accidents reported after the event and any meetings.
  10. Photographers acting as a second photographer or emergency cover will not be employees of Diane Frazer Photography. They will be checked to make sure they have their own liability insurance cover in the event of an accident caused by them or their equipment. Any accidents caused by an emergency cover photographer are to be reported immediately to Diane Frazer Photography. Any subsequent claims will be against the other photographer’s insurance policy.
  11. Any verbal or physical abuse, hostile, threatening, or inappropriate behaviour towards the photographer, theft, or damage of equipment will not be tolerated and will result in the photographer terminating the wedding coverage and/or the booking for their own safety. Any theft or damage of equipment by you or your guests will be charged for.
  12. Diane Frazer Photography is to be made aware if anyone attending the event suffers from photosensitive epilepsy that maybe triggered as a result of lighting equipment to be used.

 

Viewing Online

  1. Watermarks will not feature on ordered products.
  2. The final post production and editing styles, effects, and overall look of the images are left to the discretion of the photographer.
  3. All images are colour balanced however colours of clothes may differ to real life and vary throughout the event as the natural light changes or with any flash used.
  4. The photographs may vary in colour depending on the monitor they are viewed on.
  5. The event organiser will be provided with a unique and secure password to view the photographs in a client area on www.dianefrazerphotography.co.uk/login as soon as possible.
  6. Anyone requesting the login details will be asked to contact the event organiser.
  7. For events with more than 2 hours coverage a small number of 'preview' photographs will be uploaded for viewing only in your client area on the website within 2 to 3 weeks of the event. These preview photographs are subject to final tweaks when all the event photographs are reviewed as a complete collection at the final stage of the editing process. For this reason preview photographs will only be available to download once the rest of the collection is finished as soon as possible.
  8. The estimated completion time of all photographs for viewing approximately is 6 to 8 weeks after the event, depending on the number of hours coverage purchased. A quicker turnaround time is to be booked and paid for before the event and subject to availability to block out the photographer's diary for immediate days after the event to guarantee editing time.  
  9. The online slideshow is a feature of the website and maybe withdrawn by the website company at any given time with no notice.

 

Photograph Ordering

  1. High resolution JPEG files (supplied in the 3:2 aspect ratio they were taken in) are included with every event coverage package. There is no obligation to purchase any additional products.
  2. Digital photographs are delivered as downloads by email after ordering within your client area.
  3. One home visit viewing appointment per event is complimentary by request at an address within 30 miles of Reading, Berkshire. Any further ordering appointments are £125 each with the cost put toward any products ordered during the appointment.
  4. Guests ordering any physical prepaid event package products will be asked to change their order unless consent has been given by the event organiser or their nominated recipient for them to order their item on their behalf. 
  5. Reasonable steps are taken to ensure USB sticks are suitable for use on various devices, however due to ever changing technology, the vast range of devices available and their tendency to corrupt; no liability will be taken for any incompatibility issues.
  6. The photographs of the products are examples and not to scale. All product sizes quoted are approximate.
  7. At checkout the chosen image is to be cropped to suit the aspect ratio of the product ordered. On average 0.5" will be hidden in the framing process including removable print mounts. Album pages may be trimmed slightly in comparison to the proofs due to creep in the binding process. Albums have been designed with this in mind and all picture boxes are placed within the supplier's recommended safe margin thus likely only to affect full bleed images up to 0.5" around the edge. 
  8. The colours of the products are as accurate as possible due to the variations of materials and computer monitor displays.
  9. Due to the organic makeup of the natural materials used by suppliers for their products minor surface imperfections may be present. The grain and colour of wooden frames may vary and over time have a tendency to darken.
  10. In the unlikely event of product suppliers discontinuing any of the products advertised at anytime a similar alternative will be offered. If an alternative product is refused, a refund for that item will be given, minus any PayPal or debit/credit card transaction fees if a pay later offline alternative fee exempt method (internet banking or cheque) was offered.
  11. All photographs uploaded to the client area will be received as shown with basic subtle airbrushing of any minor blemishes already done during the editing stage to the same standard as shown on www.dianefrazerphotography.co.uk/events.
  12. Any further digital retouch work, including clothing alterations and venue imperfections is to be requested and a quote will be given to cover additional time spent editing. The price will vary depending on the nature of the request and the number of photographs the alteration is to be done to. After receiving the quote the photograph/s can be left as they are or the additional retouch work paid for.
 

Promotional Discounts and Gift Vouchers

  1. Any valid discounts or promotions will be shown and deducted at checkout.
  2. Gift cards are a voucher code, delivered as an email link that works like regular gift voucher. No physical card will be issued.
  3. Any gift list contributions from various buyers can be added together as one gift card to spend on any product or service.
  4. Gift card voucher codes are to be entered at checkout. They can also be assigned to a client area for spending on the next transaction (not recommended for shared client areas or on public computers).
  5. Multiple gift cards can be used by any number of people for any number of purchases of products/services until the total value has been redeemed.
  6. Orders placed for physical products to the same value as the gift card will be subject to shipping costs. Any free shipping promotions will show at checkout when ordering products.
  7. If the order total including shipping is less than the gift card value, the balance will be updated and visible when clicking on the original voucher code link.
  8. Gift cards have no expiry date; however prices are subject to change 6 months after your event.
  9. Any gift cards received either as a complimentary prize issued by Diane Frazer Photography or a donated prize for third party fundraiser will not be exchanged for their cash value, the amount paid in a fundraising auction etc, any other service or product but can be used by someone else before their expiry date.
  10. If the buyer or recipient suspects the gift card code or link has accidentally fallen into the wrong hands the voucher code can be cancelled if the total value hasn't been redeemed. A new voucher code will be issued to the original email address used by the buyer.

 

Payment, Proofs and Order Cancellation

  1. Payments for debit/credit cards are taken through PayPal with or without a PayPal account. The Diane Frazer Photography website will load the payment gateway to complete the purchase or where additional offline pay later options (internet banking or cheque) are offered too, payment instructions will appear at the end of the checkout process and in your invoice sent to the email address supplied.  
  2. Diane Frazer Photography is not responsible for bank transfers being sent to an incorrect account, cheques/cash being lost in the post, cheques bouncing, or banks/PayPal refusing tender.

Copyright

  1. The 1988 Copyright, Designs and Patents Act assigns the copyright of all photographs to Diane Frazer Photography when they are taken.
  2. High resolution photographs can be printed and copied royalty free for personal use and no profitable gain.
  3. With the exception of cropping to different aspect ratios for display purposes, the photographs cannot be digitally manipulated in any way to maintain the artistic integrity of the images protected by intellectual property rights.
  4. Guests may take photographs on their own devices providing they are not obstructing. Any photographs of compositions set up by Diane Frazer Photography are to be for personal use only and no profitable gain. They are not permitted to use these images to market their own photography business.
  5. Photographs can be uploaded to social network websites. Images received will not be watermarked. Liking and tagging the Diane Frazer Photography Facebook page or Instagram page is much appreciated.
  6. Photographs without identities (venue, flowers, etc) will be used for marketing by Diane Frazer photography and shared with your venue/s and suppliers.
  7. Diane Frazer Photography will ask the event organiser when ordering, to give or refuse consent to use their other photographs in the public domain for marketing. Images will be used on the Diane Frazer Photography website, on electronic devices owned by Diane Frazer for the purpose of a portfolio slideshow, email marketing, promotional material, and sample products. Event guests should be made aware if permission is given in case they do not wish to have the photographs they feature in used. Only photographs of whoever has ticked the 'yes' permissions box and their immediate family (spouse/partner/children) will be used on third party directory websites and social media whereby Diane Frazer Photography has login details to control the content. These can be listed upon request.
  8. Diane Frazer Photography will not share any of your photographs showing your identities with any third party without your consent. You may give your other event suppliers (hairdresser, make-up artist, florists, venue) a free copy of your photographs to help promote their business in exchange for them crediting Diane Frazer Photography for the images.

 

Privacy Policy

  1. Any personal data including names, addresses, contact numbers and other information relevant to the photography service are collected, kept confidential and not distributed to any third party.
  2. In the event of a second photographer or an emergency cover photographer being required for any reasons outlined in these terms and conditions, any other relevant details required for use on the event day will be passed on to enable them to undertake the job. Should Diane Frazer be hospitalised and not in a position to make any necessary emergency cover arrangements herself, a next of kin will access her diary and client paperwork to do it on her behalf.
  3. If you believe that any information Diane Frazer Photography holds on you is incorrect or incomplete, please email data@dianefrazerphotography.co.uk as soon as possible.
  4. You will only be contacted regarding your booking and subsequent order/s. When ordering products you will have the option to opt in or out to receive the Diane Frazer Photography seasonal newsletter, which you can 'unsubscribe' from at any time.

School Presentation Event Booking | Terms and Conditions
 
For Bookings after 6 April 2022
 

General

  1. Please make sure all contact details supplied are correct.
  2. The timescales are a guide. All services will be completed as soon as possible with any unlikely delays notified.
  3. For the purpose of these terms & conditions "school" refers to all types of educational institutes and children's sport and recreational clubs; "staff" refers to any staff, governor, PTA member or club leader; "buyer/s" refers to the person completing the booking and/or making the payment on behalf of the school for attendance at the event or any parents, carers, guardians, relatives purchasing photos after the event. It will also include students over 18 and any children old enough to order photographs with consent.
  4. The "event" refers to a public or social occasion organised by a school.
  5. "Photography genre" refers to the photographic equipment and background used to create a particular look. "Lifestyle" images have the actual location in the background whilst "studio" images feature a background provided by the photographer.

 

Booking

  1. The booking is completed following payment.
  2. Failure to pay as soon as possible may mean your event date is no longer available. 
  3. Failure to pay before the event date will cancel the booking. This event coverage is discounted providing online sales for buyers to purchase photographs are permitted. Refusal to give out ordering information to buyers will incur an additional attendance fee of £65.
  4. The presentation event package can be upgraded before the event day after the balance has been paid. Payment will be due before the event day.
  5. There will be no travel expenses charged for schools within 30 miles of Reading, Berkshire. A free space to park and/or unload as close as possible to the setup space is to be provided on the event day and nearby reception for delivery of buyer's orders. Any hire costs for your preferred indoor or outdoor location not on the school site will be at your own expense. Any travel expenses for schools further afield will be quoted prior to booking. No expenses will be added after the booking has been completed providing the event venue/s listed on the booking form does not change. This excludes room changes on the same site.
  6. Provisions for a break are to be made for event coverage longer than 4 hours.
  7. Copies of insurances documents, PAT testing certificate and risk assessment can be supplied to the school and/or event venue/s by request.
  8. The photographer’s DBS can be viewed by request. This is a basic DBS, the highest possible for a self application. An enhanced check can be done by request however this will need to be completed by staff and at the school's expense.
  9. Prices for products, any special offers, and terms and conditions for additional orders are subject to change 1 month after the event photos have been uploaded to your client area.
  10. Products can be pre-ordered by staff or buyers and paid for before the event. They are non-refundable once sent off for production.

 

Postponement or Cancellation

  1. Bookings for an evening, weekend or school holidays are non-refundable after 30 days. There are no postponement or cancellation fees for events taking place during the school day.
  2. If the event is postponed any payments made can be transferred to the new date, subject to availability.
  3. Should Diane Frazer Photography have another booking on the rearranged day or a request to cancel the booking is made, events on a school day during term time are not subject to a cancellation fee. A cancellation fee of £195 will apply to bookings made more than 3 months in advance for weekends, and school holidays.
  4. An exception will be made to postponements or cancellations for bookings made less than 2 months before the event date and in circumstances where an event photography service cannot be offered. This includes school or venue closure, unavailability of the photographer on a new date, photographer’s attendance onsite denied due to adverse weather conditions, natural disaster, or government restrictions in an epidemic/pandemic. A full refund will be given after an attempt to transfer the booking to a new date including a provisional date in the next academic year.
  5. Refunds, if applicable, will be given using the same payment method monies were received.
  6. For those choosing to pay by PayPal (debit/credit card or PayPal account), a percentage of the payment is non-refundable in all circumstances when a pay later offline alternative fee exempt method (internet banking or cheque) is offered. This retainable percentage is subject to change by PayPal at any time with no notice. An advisory of the amount will be included in your invoice and subject to change if making payment is delayed. For these PayPal transactions the cooling off period will be determined as the time between completing the booking form/placing an order on the Diane Frazer Photography website and paying separately after reviewing the invoice at the buyer’s convenience.
  7. In the event Diane Frazer is hospitalised, forced to self isolate under government epidemic/pandemic social restrictions or unable to travel to the event venue due to adverse weather conditions Diane Frazer Photography has a procedure in place to find another photographer as emergency cover. In the first instance cover will be found for the event at no additional cost to the school. The editing and the rest of the event photography package service will be completed by Diane Frazer Photography.
  8. In some circumstances cover for the complete job including editing and delivery of images may be required. Emergency cover procedures will be put in place to help find a replacement photographer. A refund of any monies paid will be given for the school to use to pay the new photographer and the contract with Diane Frazer Photography cancelled. Diane Frazer Photography will not be liable for any price differences should the alternative photographer taking on the booking wish to charge more for the same, similar, or different service at any time.

 

Photography  

  1. Staff are to be present at all times.
  2. Staff are responsible for obtaining permission for children to be photographed. Where possible or appropriate these children/students should wear a sticker or something similar to identify them amongst others.
  3. The style of photography will be as seen on www.dianefrazerphotography.co.uk/schools.
  4. There is no limit to the number of photographs taken within the times arranged.
  5. All photograph requests for the school's use are to be submitted by email before the event. This includes specific aspect ratios for displaying images. Additional photograph requests can be taken on the day; however no liability will be taken if it isn't possible to take them within the flow and time constraints of the event. 
  6. Studio portraits are limited to who can fit in front of the 7x6 foot background at the same time. An additional minimum charge of £125 per image will apply for merging photographs together. Requests need to be made prior to the photographs being taken to ensure both images are taken in the same way for correct perspective in the final image. Class or large group photos are not taken against the white studio background. They can be either indoors or outside, weather depending. On arrival the photographer will discuss a suitable location.
  7. For lifestyle photographs the location/s acting as the background should be clean and tidy ready for the agreed start time.
  8. Requests for photographs with fireworks, pyrotechnics, sparklers, smoke bombs, Chinese lanterns won’t be accepted.
  9. No liability will be taken for missing or lack of variety of photographs under circumstances out of the photographer's control. These may include restricted movement at the event venue including physical characteristics or staff permissions; staff or parental permissions; sudden obstruction or actions by anyone including videographers and venue staff during uninterruptible moments; social distancing restrictions imposed by government in the event of an epidemic/pandemic; persons absent, late, leaving early, ill or refusing to have their photo taken; time constraints caused by delays in the event schedule; weather conditions; traffic; theft of memory cards and other equipment.
  10. All buyer purchases are optional. Any buyers unhappy with what the photographer was able to take within the restricted time or in circumstances out of the photographer's control will not be compensated.
  11. No liability will be taken for accidents on council or private property not owned by Diane Frazer Photography caused by physical characteristics of the location, weather conditions, belongings (furniture, equipment etc) and people not employed by Diane Frazer Photography.
  12. Any unlikely accidents caused by the photographer or their equipment are are to be reported immediately. No liability will be taken for accidents reported after the event or any meetings/deliveries.
  13. Any verbal or physical abuse, hostile, threatening, or inappropriate behaviour towards the photographer, theft, or damage of equipment will not be tolerated and will result in the photographer terminating the event coverage and/or the booking for their own safety. Any theft or damage of equipment by staff, students, pupils or parents will be charged for.
  14. Diane Frazer Photography is to be made aware if anyone suffers from photosensitive epilepsy that maybe triggered as a result of lighting equipment to be used.
 

Viewing Online

  1. Watermarks will not feature on ordered products.
  2. The final post production and editing styles, effects, and overall look of the images are left to the discretion of the photographer.
  3. All images are colour balanced however colours of clothes may differ to real life and vary as the natural light changes or with any flash used.
  4. The photographs may vary in colour depending on the monitor they are viewed on.
  5. The school will be provided with a unique and secure password to distribute for viewing the photographs in a shared event client area on www.dianefrazerphotography.co.uk/login as soon as possible. Password details will be supplied in advance to distribute to buyers in a letter, event programme, email, etc. There is no involvement with payment or admin for the school. During busy times the complete collection of photographs will be ready for viewing and downloading approximately 2 to 4 weeks after the photography day depending on the coverage length chosen. A quicker turnaround time is to be booked and paid for before the event and subject to availability to block out the photographer's diary for immediate days after the event to guarantee editing time.  
  6. Anyone requesting the login details will need to send an email from an account with the same school domain name. Buyers will be asked to contact the school. Please refer any other buyer questions to Diane Frazer Photography.
  7. The online slideshow is a feature of the website and maybe withdrawn by the website company at any given time with no notice.

 

Photograph Ordering

  1. Digital images paid for as part of the event package for use on the school website, social media and to send to the press will be available for staff to download within the client area.
  2. All high resolution digital photographs are supplied in the 3:2 ratio they were taken in. Any alternative aspect ratios required are to be requested before the event day.
  3. Ordering optional products after the event takes on www.dianefrazerphotography.co.uk/login with no payment or admin for staff.
  4. All buyer orders placed before the order deadline will receive 20% off. Up to 10% of the final order total will also donated to the school.
  5. Ordering deadlines can be extended however this will mean the estimated delivery is likely to be delayed by the same amount of time.
  6. All photographs uploaded to the client area will be received as shown to the same standard as shown on www.dianefrazerphotography.co.uk/schools.
  7. Any further digital retouch work, including removal of blemishes, clothing alterations and venue imperfections is to be requested and a quote will be given to cover additional time spent editing. The price will vary depending on the nature of the request and the number of photographs the alteration is to be done to. After receiving the quote the photograph/s can be left as they are or the additional retouch work paid for.
  8. Buyers will be asked to agree to the Ordering Terms and Conditions. The same terms will apply for any optional orders placed by school staff.

 

Promotional Discounts and Gift Vouchers

  1. Any valid discounts or promotions will be shown and deducted at checkout.
  2. Gift cards are a voucher code, delivered as an email link that works like regular gift voucher. No physical card will be issued.
  3. Any gift list contributions from various buyers can be added together as one gift card to spend on any product or service.
  4. Gift card voucher codes are to be entered at checkout. They can also be assigned to a client area for spending on the next transaction (not recommended for shared client areas or on public computers).
  5. Multiple gift cards can be used by any number of people for any number of purchases of products/services until the total value has been redeemed.
  6. Orders placed for physical products to the same value as the gift card will be subject to shipping costs. Any free shipping promotions will show at checkout when ordering products.
  7. If the order total including shipping is less than the gift card value, the balance will be updated and visible when clicking on the original voucher code link.
  8. Gift cards have no expiry date; however prices are subject to change 1 month after your photographs have been uploaded to your client area.
  9. Any gift cards received either as a complimentary prize issued by Diane Frazer Photography or a donated prize for third party fundraiser will not be exchanged for their cash value, the amount paid in a fundraising auction etc, any other service or product but can be used by someone else before their expiry date.
  10. If the buyer or recipient suspects the gift card code or link has accidentally fallen into the wrong hands the voucher code can be cancelled if the total value hasn't been redeemed. A new voucher code will be issued to the original email address used by the buyer.

 

Payment, Proofs and Order Cancellation

  1. Payments for debit/credit cards are taken through PayPal with or without a PayPal account. The Diane Frazer Photography website will load the payment gateway to complete the purchase or where additional offline pay later options (internet banking or cheque) are offered too, payment instructions will appear at the end of the checkout process and in your invoice sent to the email address supplied. 
  2. Diane Frazer Photography is not responsible for bank transfers being sent to an incorrect account, cheques/cash being lost in the post, cheques bouncing, or banks/PayPal refusing tender.
  3. Delays transferring or posting payment for photographs will delay the order being sent off for printing.
  4. All buyer orders will go through the payment gateway PayPal. The buyer does not need to have an account.
  5. Full refunds for PayPal payments within the 48 hour cooling off period will only be given in circumstances where the Diane Frazer Photography website loads the PayPal gateway automatically. Where a pay offline later option is offered with alternative fee exempt payment instructions (internet banking or cheque) the cooling off period will be determined as the time between placing the order and paying separately after reviewing the invoice at the buyer’s convenience.
  6. Digital photograph files included as part of the school presentation event package are non exchangeable or refundable once the event has taken place. Digital photographs ordered by buyers are non exchangeable or refundable due to the irreversible nature of the delivery and ease of copying. Refunds for digital photographs will only be given for identical orders whereby the same digital image has been ordered twice using the same email address.

 

Delivery of Photographs

  1. No photographs will be delivered by email directly from Diane Frazer. All orders for digital files or delivery of digital photographs included with the school package are to be delivered via the website.
  2. Alternative physical delivery options for digital photographs by USB stick can be purchased. A quote will be given.
  3. USB sticks cannot be returned to have additional digital files added to prevent Diane Frazer Photography computers catching any viruses. 
  4. The school will be given their donation when orders are dispatched. It is up to the school how they wish to spend their money.
  5. All orders requesting free collection from school placed before the buyer ordering deadline will be delivered together. This will be on average 10 to 20 school days after the deadline. Christmas delivery for portraits taken during November and December is subject to availability as agreed on booking. Any individual buyer request to send items ready sooner separately will incur postal or courier charges for them.
  6. Where free delivery to school for buyers to collect has been offered at the earliest possible time, any request to send the order sooner by courier will be charged for.
  7. Any promotions for free UK delivery will show in the event client area.
  8. If an international shipping address has been supplied for an order it will be put on hold until an alternative care of UK address has been provided or payment for international delivery (including any liable taxes) is made after requesting a quote.
  9. Free collection or postal delivery can be changed providing the buyer's order hasn't been dispatched. Changing from free collection to postal delivery may incur a cost to the buyer.
  10. Diane Frazer photography is not responsible for any delays with orders. In the event of severe weather conditions, a natural disaster or an epidemic/pandemic, suppliers and/or couriers may be forced to stop the service they provide temporarily. All orders placed during this time will be put on hold until they are permitted to return to work.
  11. All orders are photographed before packing and delivery as evidence everything is present. Diane Frazer Photography will provide a collection register and a self stamped addressed envelope to return after all orders have been collected. Where possible buyers will be required to sign for their order. Alternatively staff can initial the collection list to confirm they have handed over the order.
  12. Any orders lost by the school will be subject to a nominal fee to cover the cost of the goods lost and subsequent postal expenses incurred to replace the order.
  13. Any buyer orders placed after the ordering deadline will be posted directly to them.
  14. In the event of any damage occurring during delivery please ask the buyer to leave a message with Diane Frazer Photography the same day by email or phone. Replacements can be arranged on return of the damaged goods directly to Diane Frazer Photography. It is advisable to get a certificate of posting and a tracking number as no liability will be taken for the loss of items being returned by the post or courier.

 

Looking After Your Photographs

  1. The photographs are printed using high quality professional printers but should still be kept out of direct sunlight in a dry environment away from high humidity levels to keep them in good condition.
  2. To clean your photographs use a dry, clean duster.
  3. It is advisable to make multiple copies of your high resolution digital photographs on different devices as soon as you receive them to make them compatible with ever changing technology and in the event of any image corruption.
  4. All photographs will be archived by Diane Frazer Photography, unless requested otherwise by the school or a buyer. No liability will be taken for loss of photographs by Diane Frazer Photography after 3 years.

  6. Refunds, if applicable, will be given using the same payment method monies were received.

  4. There is no limit to the number of photographs taken and received within the times arranged.
  5. All photograph requests for the school's use are to be submitted by email before the event. This includes specific aspect ratios for displaying images. Additional photograph requests can be taken on the day; however no liability will be taken if it isn't possible to take them within the flow and time constraints of the event or photography time booked.
  6. Studio portraits are limited to who can fit in front of the 7x6 foot background at the same time. An additional minimum charge of £125 per image will apply for merging photographs together. Requests need to be made prior to the photographs being taken to ensure both images are taken in the same way for correct perspective in the final image. Class or large group photos are not taken against the white studio background. They can be either indoors or outside, weather depending. On arrival the photographer will discuss a suitable location.
  7. For lifestyle photographs the location/s acting as the background should be clean and tidy ready for the agreed start time.
  8. Photographs of fireworks, pyrotechnics and with sparklers, smoke bombs, Chinese lanterns, or similar are to be requested a minimum of 14 days before the event to allow provisions for any additional insurance to be arranged. They will not be provided or setup by the photographer.
  9. No liability will be taken for missing or lack of variety of photographs under circumstances out of the photographer's control. These may include restricted movement at the event venue including physical characteristics or staff permissions; staff or parental permissions; sudden obstruction or actions by anyone including videographers and venue staff during uninterruptible moments; social distancing restrictions imposed by government in the event of an epidemic/pandemic; persons absent, late, leaving early, ill or refusing to have their photo taken; time constraints caused by delays in the event schedule; weather conditions; traffic; theft of memory cards and other equipment.
  10. All buyer purchases of additional products are optional. Any buyers unhappy with what the photographer was able to take within the restricted time or in circumstances out of the photographer's control will not be compensated.
  11. No liability will be taken for accidents on council or private property not owned by Diane Frazer Photography caused by physical characteristics of the location, weather conditions, belongings (furniture, equipment etc) and people not employed by Diane Frazer Photography.
  12. Any unlikely accidents caused by the photographer or their equipment are to be reported immediately. No liability will be taken for accidents reported after the event or any meetings/deliveries.
  13. Any verbal or physical abuse, hostile, threatening, or inappropriate behaviour towards the photographer, theft, or damage of equipment will not be tolerated and will result in the photographer terminating the event coverage and/or the booking for their own safety.​​​​​​ Any theft or damage of equipment by staff, students, pupils or parents for will be charged for.
  14. Diane Frazer Photography is to be made aware if anyone suffers from photosensitive epilepsy that maybe triggered as a result of lighting equipment to be used.

 

Viewing Online

  1. Watermarks will not feature on ordered products.
  2. The final post production and editing styles, effects, and overall look of the images are left to the discretion of the photographer.
  3. All images are colour balanced however colours of clothes may differ to real life and vary as the natural light changes or with any flash used.
  4. The photographs may vary in colour depending on the monitor they are viewed on.
  5. The school will be provided with a unique and secure password to distribute for viewing the photographs in a shared event client area on www.dianefrazerphotography.co.uk as soon as possible. Password details will be supplied in advance to distribute to buyers in a letter, event programme, email, etc. There is no involvement with payment or admin for the school. During busy times the complete collection of photographs will be ready for viewing and downloading approximately 3 to 6 weeks after the photography day depending on the coverage length chosen. A quicker turnaround time is to be booked and paid for before the event and subject to availability to block out the photographer's diary for immediate days after the event to guarantee editing time.  
  6. Anyone requesting the login details will need to send an email from an account with the same school domain name. Buyers will be asked to contact the school. Please refer any other buyer questions to Diane Frazer Photography.
  7. The online slideshow is a feature of the website and maybe withdrawn by the website company at any given time with no notice.

 

Photograph Ordering

  1. Digital images paid for as part of the event package will be available for staff and buyers to download within the client area.
  2. All high resolution digital photographs are supplied in the 3:2 ratio they were taken in. Any alternative aspect ratios required are to be requested before the event day.
  3. Ordering optional products after the event takes on www.dianefrazerphotography.co.uk/login with no payment or admin for staff.
  4. All photographs uploaded to the client area will be received as shown to the same standard as shown on www.dianefrazerphotography.co.uk/schools.
  5. Any further digital retouch work, including removal of blemishes, clothing alterations and venue imperfections is to be requested and a quote will be given to cover additional time spent editing. The price will vary depending on the nature of the request and the number of photographs the alteration is to be done to. After receiving the quote the photograph/s can be left as they are or the additional retouch work paid for.
  6. Buyers will be asked to agree to the Ordering Terms and Conditions. The same terms will apply for any optional orders for products placed by school staff.

 

Promotional Discounts and Gift Vouchers

  1. Any valid discounts or promotions will be shown and deducted at checkout.
  2. Diane Frazer Photography gift cards can be used to purchase the prom event coverage package and/or optional products after the event by buyers.
  3. Gift cards are a voucher code, delivered as an email link that works like regular gift voucher. No physical card will be issued.
  4. Any gift list contributions from various buyers can be added together as one gift card to spend on any product or service.
  5. Gift card voucher codes are to be entered at checkout. They can also be assigned to a client area for spending on the next transaction (not recommended for shared client areas or on public computers).
  6. Multiple gift cards can be used by any number of people for any number of purchases of products/services until the total value has been redeemed.

Payment, Proofs and Order Cancellation

  1. Payments for debit/credit cards are taken through PayPal with or without a PayPal account. The Diane Frazer Photography website will load the payment gateway to complete the purchase or where additional offline pay later options (internet banking or cheque) are offered too, payment instructions will appear at the end of the checkout process and in your invoice sent to the email address supplied.  
  2. Diane Frazer Photography is not responsible for bank transfers being sent to an incorrect account, cheques/cash being lost in the post, cheques bouncing, or banks/PayPal refusing tender.
  3. Delays transferring or posting payment for photographs will delay the order being sent off for printing.
  4. All optional buyer orders will go through the payment gateway PayPal. The buyer does not need to have an account.
  5. Full refunds for PayPal payments within the 48 hour cooling off period will only be given in circumstances where the Diane Frazer Photography website loads the PayPal gateway automatically. Where a pay offline later option is offered with alternative fee exempt payment instructions (internet banking or cheque) the cooling off period will be determined as the time between placing the order and paying separately after reviewing the invoice at the buyer’s convenience.
  6. Digital photograph files included as part of the school prom event package are non exchangeable or refundable once the event has taken place.

 

Delivery of Photographs

  1. No photographs will be delivered by email directly from Diane Frazer. All orders for digital files or delivery of digital photographs included with the school package are to be delivered via the website.
  2. Alternative physical delivery options for digital photographs by USB stick can be purchased. A quote will be given.
  3. Any promotions for free UK delivery of optional products will show in the client area. If an international shipping address has been supplied the order will be put on hold until an alternative care of UK address has been provided or payment for international delivery (including any liable taxes) is made after requesting a quote.
  4. USB sticks cannot be returned to have additional digital files added to prevent Diane Frazer Photography computers catching any viruses. 
  5. Delivery addresses can be changed providing the order hasn't been dispatched.
  6. In the event of any damage occurring during delivery please leave a message with Diane Frazer Photography the same day by email or phone. Replacements can be arranged on return of the damaged goods. It is advisable to get a certificate of posting and a tracking number as no liability will be taken for the loss of items being returned by the post or courier.
  7. All buyer orders will be posted directly to them (or the school if the buyer is purchasing for the school’s use).

 

Looking After Your Photographs

  1. The photographs are printed using high quality professional printers but should still be kept out of direct sunlight in a dry environment away from high humidity levels to keep them in good condition.
  2. To clean your photographs use a dry, clean duster.
  3. It is advisable to make multiple copies of your high resolution digital photographs on different devices as soon as you receive them to make them compatible with ever changing technology and in the event of any image corruption.
  4. All photographs will be archived by Diane Frazer Photography, unless requested otherwise by the school or a buyer. No liability will be taken for loss of photographs by Diane Frazer Photography after 3 years.

 

Copyright

  1. The 1988 Copyright, Designs and Patents Act assigns the copyright of all photographs to Diane Frazer Photography when they are taken.
  2. High resolution photographs can be printed, copied, and published royalty free for buyer's personal use and the school's marketing. They are not to be sold to anyone.
  3. With the exception of cropping to different aspect ratios for display purposes, the photographs cannot be digitally manipulated in any way to maintain the artistic integrity of the images protected by intellectual property rights.
  4. Guests may take photographs on their own devices providing they are not obstructing. Any photographs of compositions set up by Diane Frazer Photography are to be for personal use only and no profitable gain. They are not permitted to use these images to market their own photography business.
  5. Photographs can be uploaded to social network websites by staff or buyers. Images purchased will not be watermarked. Liking and tagging the Diane Frazer Photography Facebook page or Instagram page is much appreciated.
  6. Photographs without identities (hands, books, decor, etc) will be used for marketing by Diane Frazer photography and shared with any other venue/s and/or suppliers involved.
  7. Diane Frazer Photography will ask buyers who place an optional order, to give or refuse consent for their child's photograph to be used in the public domain for marketing. Images will be used on the Diane Frazer Photography website, on electronic devices owned by Diane Frazer for the purpose of a portfolio slideshow, email marketing, promotional material, sample products, and social media. Images of persons not purchased and group photographs will be defaulted to no permission.
  8. Diane Frazer Photography will not distribute any photographs showing identities with any third party without staff or buyer's consent. Any suppliers or guest speakers involved with the event can be given free digital copies of the photographs to help promote their business in exchange for them crediting Diane Frazer Photography for the images.
 

Privacy Policy

  1. Any personal data including names, addresses, contact numbers and other information relevant to the photography service are collected, kept confidential and not distributed to any third party.
  2. If any staff or buyers believe that any information Diane Frazer Photography holds on them or the school is incorrect or incomplete, please email data@dianefrazerphotography.co.uk as soon as possible.
  3. You will only be contacted about the photography service you are booking and subsequent order/s. When booking you will have the option to opt in or out to receive the Diane Frazer Photography schools newsletter which you can 'unsubscribe' from at any time.

Corporate Event Booking | Terms and Conditions

For Bookings after 6 April 2023

 

General

  1. Please make sure all contact details supplied are correct.
  2. The timescales are a guide. All services will be completed as soon as possible with any unlikely delays notified.
  3. For the purpose of these terms & conditions the "event organiser" refers to any member of staff completing the booking form and agreeing to these terms and conditions; "buyer/s" refers to anyone given access to order photographs from the event.
  4. The "event" refers to a public or social occasion organised by a company.
  5. "Photography genre" refers to the photographic equipment and background used to create a particular look. "Lifestyle" images have the actual location in the background whilst "studio" images feature a background provided by the photographer.

 

Booking

  1. The booking is completed following a deposit or full payment.
  2. Failure to pay at least a deposit as soon as possible may mean your event date is no longer available.
  3. Where a deposit has been paid on booking, the coverage balance payment will be due one calendar month before the event. Failure to pay the event coverage balance will cancel the booking and the deposit will be retained for bookings made more than 3 months in advance for evenings, weekends, and bank holidays.
  4. Event coverage can be upgraded before the event day after the balance has been paid. Payment will be due before the event day.
  5. Any travel or accommodation expenses will be quoted prior to booking. This could include petrol, parking charges, congestion charges, food and accommodation expenses. No expenses will be added after the booking has been completed providing the event venue/s listed on the booking form does not change. Coverage is continuous and includes travel time in between venues.
  6. Any changes to venue/s listed in the booking form may incur travel or accommodation expenses.
  7. Any visitor parking permits or parking payments for the photographer's vehicle at any venue, if different to the venue/s listed on the booking form, is to be arranged by the event organiser. Free parking is also to be provided for any ordering or delivery appointments after the event.
  8. Provisions for a break are to be made for event coverage longer than 4 hours.
  9. The photographer’s DBS can be viewed by request. This is a basic DBS, the highest possible for a self application. An enhanced check can be done by request however this will need to be completed by the company and at the company's expense.
  10. Prices for products, any special offers, and terms and conditions for additional orders are subject to change 1 month after the event photos have been uploaded to your client area.
  11. Products can be pre-ordered by staff or buyers and paid for before the event. They are non-refundable once sent off for production.

 

Postponement or Cancellation 

  1. The deposit is non-refundable 30 days after payment to complete the booking has been received. Where full payment has been paid on booking, the deposit amount will be retained in the event of cancellation and the balance difference refunded.
  2. If the event is postponed any payments made can be transferred to the new date, subject to availability.
  3. Should Diane Frazer Photography have another booking on the rearranged day or a request to cancel the booking is made, a refund of any coverage package balance paid will be given. The deposit will be retained as compensation for income turned away after reserving the date exclusively.
  4. An exception will be made to postponements or cancellations for bookings in circumstances where an event photography service cannot be offered on the original date. This includes venue closure, photographer’s attendance onsite denied due to adverse weather conditions, natural disaster, or government restrictions in an epidemic/pandemic. This excludes the circumstance of choosing to cancel the photography service in favour of someone else attending when the photographer’s presence is included in restricted attendance numbers. A full refund will be given in these circumstances out of your control after an attempt to transfer the booking to a new date.
  5. Bringing the event date forwards for any circumstance with less than 72 hours notice giving the photographer minimal or no time to prepare their equipment and/or travel to the venue will be considered unreasonable. This will be treated as going ahead without the photographer and subsequently a cancellation of the photography, if the photographer is unable to arrive prepared at the venue in time.
  6. Refunds, if applicable, will be given using the same payment method monies were received.
  7. For those choosing to pay by PayPal (debit/credit card or PayPal account), a percentage of the payment is non-refundable in all circumstances when a pay later offline alternative fee exempt method (internet banking or cheque) is offered. This retainable percentage is subject to change by PayPal at any time with no notice. An advisory of the amount will be included in your invoice and subject to change if making payment is delayed. For these PayPal transactions the cooling off period will be determined as the time between completing the booking form/placing an order on the Diane Frazer Photography website and paying separately after reviewing the invoice at the buyer’s convenience.
  8. In the event Diane Frazer is hospitalised, forced to self isolate under government epidemic/pandemic social restrictions or unable to travel to the event venue due to adverse weather conditions Diane Frazer Photography has a procedure in place to find another photographer as emergency cover. In the first instance cover will be found for the event at no additional cost. The editing and the rest of the event photography package service will be completed by Diane Frazer Photography.
  9. In some circumstances cover for the complete job including editing and delivery of images may be required. Emergency cover procedures will be put in place to help find a replacement photographer. A refund of any monies paid will be given to use to pay the new photographer and the contract with Diane Frazer Photography cancelled. Diane Frazer Photography will not be liable for any price differences should the alternative photographer taking on the booking wish to charge more for the same, similar, or different service at any time.
  10. In the event of postponement on more than one occasion or cancellation of a rearranged event the same terms and conditions will apply.

 

Photography

  1. Copies of insurance documents can be shown prior to booking and a copy supplied to the venue if requested. A risk assessment can also be provided after seeing the venue. Please ask the venue's event co-ordinator to contact Diane Frazer Photography to discuss.
  2. Photographs of fireworks, pyrotechnics and with sparklers, smoke bombs, Chinese lanterns, or similar are to be requested a minimum of 14 days before the event to allow provisions for any additional insurance to be arranged. They will not be provided or setup by the photographer.

  12. All buyer purchases of additional products are optional. Any buyers unhappy with what the photographer was able to take within the restricted time or in circumstances out of the photographer's control will not be compensated.
  13. No liability will be taken for accidents on council or private property not owned by Diane Frazer Photography caused by physical characteristics of the location, weather conditions, belongings (furniture, equipment etc) and people not employed by Diane Frazer Photography.

For events with more than 2 hours coverage, a small number of 'preview' photographs can be uploaded into your client area on the website after approximately 10 to 21 working days of the event. These preview photographs are work in progress and subject to final tweaks when all the event photographs are reviewed as a complete collection for quality control at the final stage of the editing process. It is at my discretion that they can be downloaded before the job has been completed. No liability will be taken for any re-print costs incurred for products ordered through Diane Frazer Photography or any third party should you prefer the final version.
  7. The estimated completion time of all photographs for viewing approximately is 6 to 8 weeks after the event, depending on the number of hours coverage purchased. A quicker turnaround time is to be booked and paid for before the event and subject to availability to block out the photographer's diary for immediate days after the event to guarantee editing time.

Images supplied can be copied and made smaller for website optimisation in due course by you or website designers.

  5. All photographs uploaded to the client area will be received as shown with basic subtle airbrushing of any minor blemishes already done during the editing stage to the same standard as shown on www.dianefrazerphotography.co.uk/corporate.

  2. To clean your photographs use a dry, clean duster.
  3. It is advisable to make multiple copies of your high resolution digital photographs on different devices as soon as you receive them to make them compatible with ever changing technology and in the event of any image corruption.
  4. All photographs will be archived by Diane Frazer Photography, unless requested otherwise by the event organiser. No liability will be taken for loss of photographs by Diane Frazer Photography after 3 years.

 

Copyright

  1. The 1988 Copyright, Designs and Patents Act assigns the copyright of all photographs to Diane Frazer Photography when they are taken. 
  2. High resolution photographs can be printed, copied and published royalty free for the event organiser's personal use and their company's marketing. They are not to be sold to anyone. A reciprocal link isn't compulsory but much appreciated.
  3. With the exception of cropping to different aspect ratios for display purposes, the photographs cannot be digitally manipulated in any way to maintain the artistic integrity of the images protected by intellectual property rights.
  4. Guests may take photographs on their own devices providing they are not obstructing. Any photographs of compositions set up by Diane Frazer Photography are to be for personal use only and no profitable gain. They are not permitted to use these images to market their own photography business.
  5. Photographs can be uploaded to social network websites by staff or buyers. Images received will not be watermarked. Liking and tagging the Diane Frazer Photography Facebook page or Instagram page is much appreciated.
  6. Photographs without identities (venue, flowers, etc) will be used for marketing by Diane Frazer photography and shared with your venue/s and suppliers.
  7. Diane Frazer Photography will ask the event organiser when booking, to give or refuse consent to use their other photographs in the public domain for marketing. Images will be used on the Diane Frazer Photography website, on electronic devices owned by Diane Frazer for the purpose of a portfolio slideshow, email marketing, promotional material, and sample products. Event guests should be made aware if permission is given in case they do not wish to have the photographs they feature in used. Images of children will be defaulted to no permission.
  8. Diane Frazer Photography will not share any of your photographs showing your individual or company identities with any third party without your consent. You may give your other event suppliers (hairdresser, make-up artist, florists, venue, guest speaker) a free copy of your photographs to help promote their business in exchange for them crediting Diane Frazer Photography for the images.
 

Privacy Policy

  1. Any personal data including names, addresses, contact numbers and other information relevant to the photography service are collected, kept confidential and not distributed to any third party.
  2. If any staff or buyers believe that any information Diane Frazer Photography holds on them or the company is incorrect or incomplete, please email data@dianefrazerphotography.co.uk as soon as possible.
  3. You will only be contacted about the photography service you are booking and subsequent order/s. When booking you will have the option to opt in or out to receive the Diane Frazer Photography schools newsletter which you can 'unsubscribe' from at any time.
